To provide effective property and lease administration support across a confidential national property portfolio, with a key focus on property-related financial administration, landlord reconciliations, lease obligations, and maintaining accurate property and lease records.

The role will work closely with Finance, Property, landlords, property managers and internal stakeholders to ensure property costs, outgoings and lease-related financial obligations are accurately recorded, reconciled and substantiated.

Key Responsibilities

- Manage and maintain accurate property and lease records, databases and documentation;
- Review, process and reconcile landlord and property-related invoices, outgoings, rent reviews and other lease-related financial obligations;
- Reconcile landlord statements and supporting documentation to ensure charges are accurate, complete and appropriately substantiated;
- Investigate and resolve discrepancies between landlord statements, invoices, lease terms and internal records;
- Validate property-related costs against lease agreements, approvals and supporting documentation;
- Monitor rent reviews, lease changes, outgoings and other key financial obligations and ensure relevant records are updated;
- Liaise directly with landlords, property managers and internal stakeholders to resolve financial and lease-related queries;
- Assist Finance with property-related accruals, budgeting, forecasting and reporting requirements;
- Coordinate property compliance and licensing requirements, including Medicare Australia where applicable;
- Maintain key lease dates and proactively follow up upcoming renewals, options, reviews and other obligations; and
- Prepare property and lease reports, reconciliations and analysis as required.

Skills and Knowledge Requirements

- Demonstrated experience in property, lease, finance or commercial administration;
- Strong understanding of invoice processing, reconciliations and financial substantiation;
- Ability to interpret lease documentation and validate property costs against contractual obligations;
- Strong Excel and Microsoft Office skills;
- Excellent attention to detail and analytical skills;
- Solid communication and stakeholder management skills;
- Ability to independently manage competing priorities and deadlines;
- Proactive approach to identifying and resolving discrepancies.
