Estimator / Project Coordinator – Architectural Timber Linings
ARTIEM
Full-time / Part-time | On-site | Perth, Western Australia
About ARTIEM
ARTIEM specialises in architectural timber wall and ceiling linings for commercial construction projects. Our work includes decorative and acoustic panels, perforated panels, timber slats and battens, plywood, veneers, laminates and custom CNC-machined products.
We work closely with architects, builders, suppliers and installers to turn detailed architectural concepts into practical, buildable and commercially successful outcomes.
We are looking for an Estimator / Project Coordinator who can take ownership of projects from initial enquiry and estimating through to procurement, production and delivery.
This role would suit someone who is commercially sharp, technically capable and confident working with drawings, specifications, spreadsheets and construction documentation. We are particularly interested in someone who already uses—or is eager to learn—modern AI tools to make estimating and project coordination faster, more accurate and more scalable.
The role
You will help manage the complete front-end and delivery workflow for architectural timber lining projects.
Your responsibilities will include
- Reviewing architectural drawings, reflected ceiling plans, elevations, schedules and specifications
- Completing detailed material take-offs for wall and ceiling lining packages
- Identifying panel types, dimensions, quantities, finishes, perforation patterns, substrates, veneers, edge treatments and installation requirements
- Preparing accurate project estimates, budgets and formal quotations
- Requesting, reviewing and comparing supplier and subcontractor pricing
- Calculating material yields, wastage, machining, finishing, freight and installation costs
- Maintaining current supplier price lists, estimating rates and product information
- Developing project-specific inclusions, exclusions, assumptions and clarifications
- Identifying drawing discrepancies, missing information and commercial risks
- Preparing RFIs and liaising with builders, architects, suppliers and installers
- Developing value-engineering options where budgets or specifications require adjustment
- Managing quote revisions, addenda and scope changes
- Converting successful tenders into clear project handovers
- Coordinating shop drawings, samples, approvals,
procurement, manufacturing and delivery
- Monitoring project costs, variations, lead times and programme requirements
- Keeping project records, pricing information and correspondence organised and traceable
- Helping improve ARTIEM’s estimating templates, systems and internal processes
AI and process improvement This is not a conventional estimating role where the successful applicant is expected to keep doing everything manually.
We want someone who is interested in using technology to improve how the business operates. This could include tools such as Claude Code, ChatGPT, OpenClaw or equivalent AI and automation platforms.
Depending on your experience, you may help us:
- Extract quantities and relevant information from drawings, schedules, specifications and emails
- Consolidate supplier pricing into a searchable and reliable pricing database
- Automate repetitive spreadsheet, quotation and project-administration tasks
- Compare supplier prices and identify outdated or inconsistent rates
- Generate first drafts of scopes, RFIs, quote clarifications and client correspondence
- Connect information between email, spreadsheets, Simpro and other business systems
- Build tools that improve estimating speed without sacrificing accuracy
- Document repeatable processes so knowledge is retained within the business
- Identify practical opportunities for AI agents and workflow automation
You do not need to be a software developer. However, you should be comfortable learning new systems, experimenting responsibly and checking AI-generated work before it is used commercially.
About you
Ideally, you will have:
- Experience in construction estimating, project coordination or contract administration
- The ability to read and interpret architectural drawings and specifications
- Strong numerical, spreadsheet and analytical skills
- Excellent attention to detail
- A practical understanding of construction sequencing and buildability
- Commercial awareness and confidence reviewing costs, margins and project risks
- Strong written communication skills
- The ability to manage multiple tenders and live projects simultaneously
- A methodical approach to document control and record keeping
- Confidence communicating with builders, architects, suppliers and subcontractors
- A genuine interest in AI, automation and improving business processes
Experience with architectural joinery, timber linings, acoustic panels, commercial interiors, ceilings, wall panelling, CNC manufacturing or fit-out packages would be highly regarded. Experience with Simpro, advanced Excel, PDF take-off software, Claude Code, ChatGPT, OpenClaw, scripting or workflow automation would also be an advantage.
What matters most
We are not necessarily looking for someone who already knows every product or system.
We are looking for someone who:
- Takes ownership of their work
- Asks positive questions
- Can work through technical detail without losing sight of the commercial outcome
- Is careful with pricing and project information
- Can communicate clearly when something is missing or does not make sense
- Looks for better ways to complete repetitive work
- Understands that AI is a tool to support professional judgement—not replace checking and accountability
- Wants to grow with the business and make a meaningful impact
What we offer
- A key role within a specialised architectural products business
- Exposure to distinctive commercial projects
- The opportunity to work across estimating, procurement, manufacturing and project delivery
- Direct involvement in improving the company’s systems and workflows
- Support to develop practical AI and automation capability
- The prospect to shape the role around your strengths
- Full-time/Part-time/Casual, on-site employment in Perth
How to apply Please send us your résumé and a brief introduction covering:
1. Your estimating or project coordination experience
2. The types of construction packages or products you have worked with
3. The software and estimating systems you are comfortable using
4. Any examples of how you have used AI, automation or technology to improve your work
If you have built an estimating tool, automated a repetitive process or found a smarter way to manage project information, we would particularly like to hear about it.
