About the Role

We're hiring an Executive Assistant to work directly with our CEO and founder.

He moves quickly, travels constantly, and holds a lot at once. Your job is to make sure nothing he touches gets dropped. You'll sit in the meetings, capture what was agreed, turn it into actions with owners and dates, then chase those actions until they're closed. You'll know what's due this week before he does, and you'll flag the thing that's about to slip while there's still time to do something about it.

This is not a diary and travel bookings role. It's for someone who wants to be across the whole business and is comfortable holding senior people to their commitments, including people more senior than they are.

You'll also keep the office running. In a business this size the two things sit together, and the person who knows where everything is tends to be the person everything moves through.

The role grows with what you take on. As you build knowledge of the business, more of it comes to you first rather than to him.

What You'll Actually Do

Supporting the CEO

- Manage the CEO's calendar, inbox, and travel across multiple time zones, with the judgement to decide what's worth his time and what isn't.
- Sit in on meetings and calls, capture decisions and actions, and get them into Monday.com the same day.
- Follow up on actions sitting with other people, internally and externally, until they're done.
- Track deadlines across productions, tours, and projects, and raise risks early rather than reporting on them afterwards.
- Prepare the briefs, agendas, documents, and background he needs before he needs them.
- Draft correspondence on his behalf and get the voice right.
- Handle confidential information across contracts, commercials, artists, and people matters.

Keeping the business moving
- Keep our team, clients, suppliers, and partners moving so nothing sits waiting on us.
- Prepare for and follow up on partner, investor, and industry meetings.




- Coordinate across our teams in Australia and internationally.
- Support travel, accommodation, and logistics for the wider team when productions ramp up.

Discretion and confidentiality
- Handle confidential information across contracts, commercials, artists, personal matters, and people issues without exception.
- Understand what can be said, to whom, and when. A lot of what crosses your desk is commercially sensitive or personal, and some of it is both.
- Manage sensitive conversations and correspondence on the CEO's behalf with the same discretion he would.
- Keep confidential documentation secure and access controlled.

Running the office
- Own the day to day of the Gold Coast office so the team can focus on productions. You are the person who makes the place work.
- Manage suppliers, subscriptions, office accounts, insurances, and the general run of business admin.
- Keep the office stocked, functional, and presentable, including when we're hosting partners, presenters, or press.
- Own document management and filing across the business, so anything can be found by anyone who should be able to find it.
- Organise team events, meetings, and everything that goes with them.
- Be the first point of contact for the office, and handle whoever walks in or calls with judgement about what gets escalated.

What Success Looks Like

- Nothing agreed in a meeting gets lost.
- Actions sitting with other people get closed without the CEO having to chase them.
- Risks get flagged while there's still time to act, not reported afterwards.
- He walks into every meeting already briefed.
- The office runs without anyone thinking about it.
- Confidential information stays confidential.
- You travel well. When you're on the road with the CEO, the trip runs and nothing at home stops moving.
- Nothing sensitive leaves the room

Who You Are

- You're organised in a way that's almost inconvenient for everyone around you. You write things down.
- You follow up without being asked twice, and you're comfortable following up with people more senior than you.
- You communicate early. In live entertainment a delayed answer is usually a bigger problem than a difficult one.
- You can read a room and hold a confidence.
- You switch gears without complaint when a production changes at short notice.
- You're not precious about the work. One hour you're preparing a brief for a partner meeting, the next you're sorting a supplier or booking flights for a crew. Both matter and neither is beneath you.




- You want to understand the business, not just support it.
- You are discreet by instinct. You don't repeat things, you don't hint at things, and people trust you because of it.
- You travel well and you're happy to. You're practical on the road, not just in the office.

What You'll Need

- Proven experience supporting a founder, CEO, or senior executive.
- Strong written communication, including the ability to draft confidently on someone else's behalf.
- Sound judgement on priorities, and the confidence to make calls without checking first.
- Absolute discretion with confidential, commercial, and personal information. This is not negotiable in this role.
- Willingness and availability to travel interstate and internationally when required, including at short notice. Current passport essential.
- Experience running or coordinating an office, including suppliers, accounts, and business administration.
- Comfort with systems and a genuine commitment to keeping them current. We run on Monday.com and Slack.
- Ability to manage international travel, time zones, and shifting schedules.
- Full working rights in Australia.

Nice to Have

- Experience in entertainment, touring, events, media, or another deadline driven industry.
- Experience coordinating international travel and logistics.
- Office management or business administration experience.
- Exposure to board, investor, or partner level communication.

The Practicals

Hours: Full time. Core business activity sits around 9am to 5pm AEST, but the nature of live touring and international time zones as well as the role means some flexibility is required around travel, launches, and show weeks.

Location: Gold Coast HQ. This role works in the room.

Salary: $90,000 per annum plus superannuation.

Reports to: Chief Executive Officer.
