The Role
We are seeking a proactive and commercially minded Facilities Maintenance Contracts Coordinator to join our Airport Operations team.
Reporting to the Head of Facilities and Asset Management, this role plays a critical part in supporting the Facilities Maintenance team by coordinating contract administration, managing purchasing and invoice processes, supporting budget reporting and ensuring expenditure is accurately tracked and reported.
Working closely with Team Leaders, Finance, Accounts Payable, Procurement and external contractors, you will help ensure maintenance works are delivered efficiently, expenditure is appropriately allocated and contractors meet their contractual obligations.
This role is ideal for someone who enjoys working with financial data, systems and processes, while also building strong working relationships across a diverse group of stakeholders.
You will be someone who is naturally curious, detail-oriented and confident enough to challenge assumptions, ask questions and ensure the right decisions are being made.
Key Responsibilities
· Coordinate purchasing, purchase order and invoice processing activities for the Facilities Maintenance team.
· Support the administration and reporting of maintenance contracts and contractor performance activities.
· Assist with the management and monitoring of operational and capital budgets.
· Analyse expenditure and prepare monthly financial reports, identifying trends, variances and areas requiring attention.
· Attend contractor meetings and support the preparation of agendas, minutes, actions and performance reporting.
· Work closely with contractors, contract managers and internal stakeholders to ensure works are appropriately receipted and costs allocated correctly.
· Support the development of budget forecasts, cost tracking and financial reporting processes.
· Liaise with Finance, Procurement and Accounts Payable to ensure compliance with AAL policies and governance requirements.
· Maintain accurate records and contract documentation.
· Contribute to continuous improvement initiatives across Facilities Maintenance contract and financial administration processes
About You
You are an organised and proactive professional who enjoys understanding how things work and identifying opportunities to improve them.
You are comfortable working with financial information,
managing competing priorities and engaging directly with contractors and stakeholders to resolve issues. Rather than simply processing transactions, you take ownership, ask questions and ensure the right outcome is achieved.
You will ideally bring
· Experience working with purchasing, invoicing, accounts administration, contract administration or financial coordination processes.
· Robust financial and commercial acumen, with the ability to analyse data and identify trends.
· Experience preparing reports and presenting financial information in a clear and practical way.
· Confidence working with contractors, suppliers and internal stakeholders.
· Strong attention to detail and a high level of accountability.
· The ability to work independently while collaborating effectively within a team environment.
· Experience using ERP or purchasing systems such as TechnologyOne, SAP or similar.
· Experience within facilities maintenance, infrastructure, property, construction or operational environments will be highly regarded.
