Job Description
About the role
n
The role of Management Support Officer provides management support to each Group Manager in a timely and efficient manner with minimal supervision. Responsibilities are confidential and involve juggling multiple priorities while maintaining strong communication with relevant stakeholders. This is a permanent part-time position, working 4 days per week, with a hybrid working arrangement.

Responsibilities
n
n
- Ensure productive management of the Group Manager's emails, appointments, diaries, travel and meeting/workshop preparation including venue bookings, travel and accommodation arrangements, and collation of meeting papers.
n
- Provide management support as requested, including preparation, copying and presentation of letters, memos, reports, agendas, minutes, newsletters, etc.
n
- Monitor and log all incoming correspondence/documentation and ensure outgoing correspondence is appropriately formatted, signed off and distributed accurately and promptly.
n
- Address enquiries efficiently, providing accurate information within the role's scope or coordinating messages and referrals to relevant staff.
n
- Update and maintain relevant Service Delivery stream's SharePoint pages within Connect (intranet) and upload documents to SharePoint as required.
n
- Develop, maintain and evaluate administrative systems for timely management of documents and information within Microsoft Teams.
n
- Reconcile credit card expenses and invoices via Anglicare SQ systems.
n
- Provide advice and information to the organisation in relation to areas of responsibility.
n
- Provide professional first point of contact/reception service to internal and external customers, by phone or in person.
n
- With the immediate supervisor, monitor workloads, provide assistance and act as a resource to other administrative staff as required.
n
- Develop, implement and evaluate administrative systems to meet organisational needs.
n
- Provide support with information systems and technology.

About you
n
n
- Demonstrated ability to establish and maintain effective working relationships within and across busy multidisciplinary teams and with external stakeholders.
n
- Proficient time management skills and ability to prioritise workloads.
n
- Adaptive and open to new ideas, with a willingness to approach challenges and adjust plans to meet priorities.
n
- Effective interpersonal and written communication skills with attention to detail.
n
- Experience in general office administration including knowledge of computer software (e.g., Microsoft Office suite, database applications), Procura, and coordinating meetings and seminars/workshops.
n
- Willingness to commit to Anglicare SQ's vision, mission and values.
n
- Highly desirable:
experience in the aged care sector and/or social services sector; working knowledge of guidelines and statutory requirements relevant to Anglicare SQ services (or ability to acquire quickly).
n
- Qualification in Administration, Business or a related discipline to Diploma level or working towards it; demonstrated skills in development, implementation and evaluation of administrative systems.
