About the role
This role focuses on supporting HR, accounts, general administration, compliance, and scheduling, working closely with management and the existing admin/HR team. A key part of this role is supporting scheduling and rostering, which is critical to keeping both clients and staff supported and happy. You will work collaboratively to ensure processes are completed accurately, efficiently, and in line with legislative and audit requirements.
Key responsibilities
- Assist with recruitment, onboarding, and employee records
- Extract data for invoicing and complete accurate entry in Xero
- Support payroll preparation through data checks and record accuracy
- Answer phones and respond to enquiries professionally
- Manage multiple shared email inboxes, as well as your own
- Assist with client onboarding and intake documentation
- Prepare and manage NDIS service agreements with accuracy
- Handle client and employee enquiries and complaints professionally
- Coordinate and manage staff scheduling and rostering, recognising this as the backbone of our business—ensuring clients receive consistent, high-quality services and staff are supported with efficient, well-planned runs
- Respond to daily schedule changes, staff availability,
and client needs in a fast-paced environment while maintaining service quality and continuity
About you
- Previous experience in administration and/or accounts
- Strong working knowledge of Xero (preferred but not essential)
- Experience with scheduling or rostering in a service-based environment (highly regarded)
- A confident all-rounder capable of managing multiple business functions
- High attention to detail and strong organisational skills
- Energetic, proactive, and able to take initiative
- Reliable, punctual, and able to meet deadlines
- Strong communication skills, including handling sensitive matters professionally
- Ability to work collaboratively as part of a small team
- National Police Check (or willingness to obtain)
