About the Role
This is an exceptional opportunity for an experienced Executive Assistant who thrives on organisation, enjoys variety and genuinely loves making life easier for others.
Working closely with the Managing Director, you'll become their trusted right-hand person, providing high-level executive, administrative and organisational support across a broad range of business activities, strategic projects and selected personal commitments.
No two days will be the same. From managing diaries, travel and meetings through to coordinating projects, preparing reports, liaising with key stakeholders and ensuring priorities remain on track, you'll play an integral role in helping the Managing Director and the business operate efficiently.
This role requires exceptional organisational ability, sound judgement, professionalism and absolute discretion. You'll be someone who naturally anticipates what's needed next, enjoys solving problems and takes genuine pride in ensuring nothing falls through the cracks.
Key Responsibilities
- Manage the Managing Director's diary, appointments and travel arrangements
- Coordinate meetings, agendas, presentations and supporting documentation
- Monitor emails, correspondence and communications, ensuring priorities are managed effectively
- Prepare reports, presentations and business documentation
- Coordinate follow-up actions, reminders and project timelines
- Liaise professionally with clients, suppliers, contractors and external stakeholders
- Assist with strategic initiatives, confidential projects and special assignments
- Coordinate business documentation, applications, bookings and payments
- Support administration across multiple business interests and projects
- Assist with planning events, functions and business activities
- Maintain highly organised records, documentation and administrative systems
- Handle confidential information with the highest level of professionalism and discretion
About You
We're looking for someone who is highly organised, proactive and enjoys building trusted working relationships while supporting senior leadership.
Ideally you will possess:
- Previous experience as an Executive Assistant, Personal Assistant or in a senior administrative role
- Outstanding organisational and time management skills
- Exceptional written and verbal communication abilities
- High attention to detail with a commitment to accuracy
- Advanced Microsoft Office skills including Outlook, Word, Excel and PowerPoint
- Ability to manage multiple priorities in a rapid-paced environment
- Professional presentation and excellent interpersonal skills
- Sound judgement, initiative and problem-solving capability
- Absolute discretion and the ability to maintain confidentiality
- Current Driver Licence
Highly Regarded
- Experience supporting a Managing Director, CEO or business owner
- Exposure to the construction, building or trade industries
- Experience coordinating business projects and executive reporting
- Relevant qualifications in Business Administration or a related discipline
