Remuneration: $45.03 per hour (including 12% superannuation, excluding GST)

Women in Media (WiM) is a national not-for-profit, DGR-registered charity that supports women working in all forms of media – including journalism, production, communications, PR, advertising, marketing, film and digital media.

About the role
Women in Media is seeking an experienced and outcomes-driven professional to lead Board and administrative operations on a fixed term contract as the organisation completes a comprehensive strategic review and commences implementation of its new plan.
This role will act as central coordination for the organisation’s strategic review and implementation led by the Board, as well as maintenance of daily operations, including state and territory activities.
You will liaise routinely with the Chair of the Board, other directors and members of Board subcommittees, ensuring timely preparation of meeting schedules, board papers, briefing materials and minutes to ensure seamless operational delivery.
As National Operations Coordinator, you will report to the Chief Financial Officer,
and work closely with the Chair of the Finance, Audit & Risk Committee. The role also works as a central conduit across WIM’s team. A versatile spread of hours is desirable across 4 days to ensure timely responses to external and internal administrative queries.
Role Scope
Governance support
- Oversight of scheduling and coordination of board and committee meetings, agendas, board paper collation, notetaking, and dissemination of minutes.
- Supporting the CFO to ensure all legal and regulatory documents are filed, kept current and monitored for compliance.
Finance operations
- Financial data entry and bookkeeping (Xero software), including national accounts receivable and payable.
- Financial support for state committees.
- Supporting CFO with budgets and preparing financial reports, planning, and auditing.
Business operations:
- Coordination of daily operational activities, including supplier contracts, record keeping, digital file management.
- Performing administrative tasks
- Managing the main WiM email address (general queries etc)
- Provision of excellent stakeholder engagement, maintaining relationships with Board of directors, State convenors and committees, volunteers, suppliers and partners.
- Preparing and maintaining operations documents and reports.
- Project management of WiM initiatives, including planning processes for new initiatives, allocating assignments, tracking progress, resolving issues and ongoing tracking and support for existing initiatives.
- Support planning and organising conferences, events, training programs, and community engagement activities.
Ideal Candidate Profile We are seeking an individual who is highly organised, flexible in their working style, self-motivated and looking to help a for-purpose organisation grow in its next stage of development. You will bring:
- Strong communication and stakeholder engagement skills, including experience working with a Board of Directors and Board subcommittee members.
- Excellent organisational and project coordination abilities.A strong understanding of Google suite and Xero software
- A proven track record in bookkeeping and general administration
- A self-starter mindset with the ability to manage multiple priorities remotely.
- A values-driven approach and commitment to gender equity and women’s advancement.
Contract and Reporting This is a fixed term contractor engagement reporting to the Chief Financial Officer (or designate).
The contractor will work independently and remotely across WIM’s small team.
The engagement is scoped at approximately 8 hours per week for 4 months, with flexibility depending on delivery cycles and operational needs.
