About the role
Please note this is a full-time office-based role on a fixed term 12-month contract
We are seeking a highly organised, proactive and customer-focused Office Coordinator to serve as the central point of contact for the Sydney Children's Hospitals Foundation (SCHF) corporate offices. As the only Office Coordinator position within SCHF, this role is critical in ensuring the seamless day-to-day operation of the organisation while delivering exceptional service to internal and external stakeholders.
This role acts as the first point of contact for all inbound enquiries across multiple channels, including visitors, telephone calls, email correspondence, deliveries, corporate partners, donors, suppliers, volunteers and staff. The Office Coordinator is responsible for triaging, resolving and escalating enquiries appropriately while maintaining a professional and positive experience for all stakeholders.
The role provides comprehensive office management, administration,
facilities coordination and executive support across SCHF's corporate functions, including the CEO Office, CFO Finance & Operations, CGO Governance, Philanthropy, Supporter Care and other business units. The position plays an integral role in supporting organisational efficiency, governance processes, workplace experience, vendor management, business continuity and continuous improvement initiatives.
As the custodian of the King Street office workplace, the Office Coordinator is responsible for ensuring operational excellence, maintaining effective office systems and processes, managing facilities and supplier relationships, coordinating key organisational meetings and events, and supporting teams to achieve strategic and operational objectives.
This role requires a highly adaptable professional who can manage competing priorities, build strong relationships across all levels of the organisation, exercise sound judgement, and proactively identify opportunities to improve processes, service delivery and the overall employee and visitor experience.
Job Responsibilities:
Front Desk & Office Management
- Serve as the first point of contact for phone, email, visitors, and general enquiries.
- Provide a professional and welcoming experience for donors, partners, patients, families, staff, and visitors.
- Coordinate meeting rooms and support key meetings, including Board, Executive, and donor meetings.
- Maintain office facilities, supplies, equipment, security passes, and shared spaces.
- Manage supplier relationships, ordering, invoices, and office budgets.
- Liaise with building management, maintenance, security, and IT providers to ensure smooth office operations.
- Support workplace health and safety initiatives and drive continuous process improvements.
Executive & Administrative Support
- Assist Executive Leadership Team members with expense reimbursement approvals.
- Maintain accurate donor records in Salesforce.
- Provide administrative support across teams, including meeting preparation and coordination.
- Deliver basic local IT support and coordinate office technology requirements.
- Support office workflow processes and contribute to a collaborative, efficient workplace.
- Undertake additional administrative and office support duties as required.

Qualifications and Experience:
- 5+ years in a similar office role.
- High-level computer skills in Microsoft Office and CRM databases.
