About the Role
As an Onboarding Officer, you will be responsible for managing the onboarding stage for Disability Support Worker candidates after they have accepted a verbal offer. This position demands meticulous attention to detail, exceptional accuracy and strong time‑management skills, as you coordinate multiple onboarding cases at once. You will ensure the onboarding process is organised, accurate and timely by managing onboarding administration, collecting and saving required documentation, completing initial compliance checks and maintain exact ongoing compliance records. Working closely with the Recruitment Officer, Allocations Officer and broader ILV team, you will ensure each candidate experiences a well-organised, timely and professional onboarding journey.
This role is situated in the ILV Head Office in Moorabbin on a part-time basis 0.7 FTE. Also on offer is negotiable working hours with an immediate start available.
As an Onboarding Officer, you will:
- Coordinate the onboarding phase from beginning to end ensuring full compliance is met prior to their first shift allocation
- Accurately save and maintain onboarding records, candidate files, process updates, and relevant onboarding and offboarding spreadsheets
- Request, collect and follow up required onboarding documents from candidates whilst ensuring that documentation is complete, current and saved in the correct location
- Follow-up and escalate missing or incomplete documentation where required
- Complete compliance checks of clearances, licenses and qualifications prior to candidate's start date
- Consistently maintain accurate and up‑to‑date compliance records for Disability Support Workers by updating worker and client details in Visual Care, monitoring expiry dates, coordinating timely renewals, and proactively communicating any compliance risks, gaps or overdue items to the relevant internal stakeholders
- Liaise with the Recruitment Officer and Allocations Officer to clarify candidate information whilst supporting a smooth transition from recruitment to onboarding and through to their first shift
- Provide candidates with clearly outlined instructions regarding onboarding requirements and outstanding items, support them through the onboarding process, respond to queries, and provide timely follow-ups
We are seeking individuals who demonstrate:
- Minimum 2 years' experience in a similar role within onboarding, compliance administration, recruitment administration or related discipline
- Knowledge and understanding of the Disability and Aged Care Services sector, guidelines and reporting (highly regarded)
- Ability to consistently deliver accuracy and quality
- Proficiency in to identifying and implementing process and system improvements whilst adopting a continuous improvement mindset
- High level of organisation with the ability to follow processes accurately and efficiently with the ability to manage competing priorities and time-sensitive deadlines effectively
- A self-starter initiative with a proactive nature and questioning mindset
- Ability to quickly grasp the flow of information across healthcare systems
- Experience in content management systems
- Proven ability to ensure processes are met, accurate records are maintained and issues are rectified promptly
- Strong interpersonal skills with the ability to build rapport with all levels of staff
- Excellent written and verbal communication skills with confidence in communicating with external and internal stakeholders
- Demonstrated capability in working effectively both autonomously and as part of a team
- Strong problem-solving skills with the ability to think outside of the box and develop innovative solutions
- Clear understanding of mandatory reporting and documentation requirements
- Strong proficiency in the Microsoft Office Suite and other relevant software applications

- Valid Australian Driver License
- Ability to provide details of at least two professional referees
