About the role
We're looking for an experienced bookkeeper to own the day-to-day finance function across our project entities. It's a part-time role (20 hours per week, flexible days, work from home) suited to someone who wants genuine ownership without a full-time commitment. This isn't a plain data-entry job. We want someone who is actively using AI tools to do the work faster and better — automating invoice capture, reconciliations and reporting rather than grinding through them manually.
Key responsibilities
- Manage accounts payable and receivable across multiple project SPVs and the head entity
- Process subcontractor and supplier invoices, progress claims, retentions and variations
- Job costing — allocate costs to the right project, stage and lot, and keep the cost-to-complete honest
- Bank and credit card reconciliations, plus loan and drawdown reconciliations with our financiers
- Prepare BAS/IAS and GST reporting, including GST on property transactions and margin scheme treatment
- Run payroll, superannuation, PAYG and related compliance
- Maintain cashflow forecasts and flag funding gaps before they become urgent
- Prepare month-end reporting packs for the directors, and liaise with our external accountant at year end
- Keep contract, insurance and compliance documentation (subcontractor licences, insurances, statutory declarations) current
- Build and improve AI-assisted workflows across the finance function — document extraction, invoice coding, reporting drafts, exception checks
About you
- 3+ years' bookkeeping experience, ideally in property development, construction or a multi-entity environment
- Robust Xero skills, including multi-entity and job/project tracking
- Solid working knowledge of Australian BAS, GST, payroll and superannuation obligations
- Demonstrated practical use of AI tools (Claude, ChatGPT, Grok) in a finance or admin context — you should be able to give real examples of what you've automated or sped up
- Accuracy under pressure and the judgement to raise issues early rather than quietly work around them
- Cert IV in Accounting and Bookkeeping (or higher) — desirable
- Experience with retentions, security of payment claims and progress claim schedules — desirable
- Comfort building simple automations (Zapier, Make, Power Automate, or scripting) — desirable
