Practice Manager

Orudra Mindspace is a growing private specialist clinic dedicated to delivering a high standard of patient care within a professional, welcoming, and supportive environment. Our focus is on creating a seamless experience for both patients and clinicians through strong systems, excellent service, and collaborative teamwork.

We are currently seeking an experienced and motivated Practice Manager/Senior Medical Receptionist to join our team. This position is ideal for someone who enjoys combining patient-facing responsibilities with administration, operational coordination, and practice support.

In this role, you will play a key role in the smooth day-to-day running of the clinic, supporting clinicians, enhancing patient experience, and helping the practice continue to grow and evolve.

The Opportunity

This role is available on either a part-time or full-time basis

, depending on the successful applicant’s availability and experience.

This is a senior role that combines front-desk reception duties with administrative leadership, operational management, practice support, and contributing to the ongoing development and growth of the clinic. You will directly report to the Director on a weekly/fortnightly basis.

Key Responsibilities

You will

- Provide a warm, professional, and welcoming experience for patients and visitors
- Manage appointments, scheduling, recalls, and clinic communications
- Coordinate patient onboarding and administrative processes
- Support clinicians with day-to-day administrative and operational tasks
- Manage billing, invoicing, Medicare claims, and private billing processes




- Maintain accurate patient records and ensure confidentiality standards are upheld
- Liaise professionally with GPs, specialists, allied health providers, insurers, and external stakeholders
- Support effective clinic operations and help improve workflows and systems
- Assist with rostering, supply management, and general practice coordination
- Handle enquiries and resolve issues in a calm, professional, and solutions-focused manner
- Develop, implement, and refine policies and procedures to support best practice operations.
- Contribute to a positive, collaborative, and supportive workplace culture
- Ensure compliance with healthcare regulations, industry standards, and accreditation requirements

About You The ideal candidate will:

- Have previous experience in practice management or senior healthcare administration
- Be highly organized with strong attention to detail
- Demonstrate excellent communication and interpersonal skills
- Present professionally and build strong relationships with patients and colleagues
- Be able to manage multiple tasks and priorities in a fast-paced environment
- Enjoy improving systems and finding practical solutions to operational challenges
- Be confident using medical software and digital systems




- Have sound knowledge of Medicare billing and private billing procedures
- Work effectively both independently and within a team environment
- Show initiative, reliability, and a proactive approach to their work
- Possess excellent written and spoken English communication skills
- Hold Australian permanent residency or unrestricted working rights

Highly Regarded Experience The following experience will be viewed favourably, although training can be provided for the right candidate:

- Experience within a specialist medical or allied health setting
- Knowledge of Medicare, DVA, Workers Compensation, or third-party billing processes
- Familiarity with Halaxy, Gentu, Best Practice, Zedmed, or similar practice management software
- Strong operational coordination and administration capabilities
- Experience supporting multiple clinicians within a busy healthcare practice
