Media Coordinator

Reporting to: Head of Media Strategy and Planning

Purpose

The Media Coordinator provides essential support to the media team in the delivery of integrated campaigns, communications, and creative projects that promote the Club’s race days, events, products, and brand.

This role is responsible for supporting day-to-day marketing operations, coordinating campaign activity, managing creative workflow processes, and ensuring all work is delivered accurately, on time, on brand, and aligned to key priorities.

Stakeholders

Internal: C-Suite, Executive General Managers, Department Heads & Managers and the wider VRC Team.

External: Suppliers, Vendors, Stakeholders, Partners, Sponsors, Members and Guests, and the wider industry networks and associations.

Focus

o Support the coordination and delivery of integrated marketing campaigns across paid, owned and contra channels including digital, social, EDM, radio, TV, OOH, print and partnerships.

o Assist in managing campaign timelines, rollout plans, social content planner, asset delivery and dispatch requirements, material specs doc and material instructions (owned and paid channels).

o Coordinate campaign reporting, trafficking and material specifications with internal teams and external partners.

o Support the coordination of Post Campaign Reports (PCRs), ensuring reporting is delivered within four weeks of campaign completion.

o Update media schedules, WIP documents, creative bibles and tracking sheets.

o Assist with meeting coordination, status updates and general team administration as required.

o Build strong working relationships across internal departments and external partners to ensure seamless delivery of marketing activity.

Success Measures (KPIs)

o Delivery allocated tasks and campaign requirements within agreed timeframes and with strong attention to detail.

o Maintain organised and up-to-date marketing records, schedules and approvals.





o Contribute positively to team culture and cross-functional collaboration.

Core Capabilities

o Strong planning and organisational skills, with the ability to manage multiple priorities in a fast-paced environment.

o Minimum of 1– 2 years' experience in marketing, implementing multiple brand, multiple market, high volume, brand, retail or tactical campaigns and events that manage and build brand equity consistently.

o Tertiary qualifications in subjects related to marketing or advertising are preferred.

o Advanced computer skills in Microsoft Applications, in particular Microsoft Word, Outlook, PowerPoint and Excel.

o Excellent attention to detail and ability to maintain accuracy under pressure.

o Robust written and verbal communication skills.

o Ability to build collaborative relationships with a broad range of stakeholders.

o Proactive and adaptable approach to changing priorities and deadlines.

o Strong administrative and coordination capability.

o A positive, team-oriented mindset with a willingness to learn and contribute.

o Contribute to a positive and respectful team environment that values open communication, creative collaboration, and mutual support.
