Vocational Education and Training Coordinator

Part time – 22.8 hours per week | Fixed-term contract | Reservoir

Prace is seeking an organised and knowledgeable VET Coordinator to support the effective, compliant and student-centred delivery of our vocational education and training programs.

This is a varied, hands-on coordination role spanning the student and course lifecycle. You will work closely with trainers, administration staff, students, employers and community partners to support quality delivery, meet regulatory and contractual requirements, and promote positive student participation, retention and outcomes.

About the role

Reporting to the VET Development and Delivery Manager, the VET Coordinator supports the rollout and oversight of Prace's vocational education and training programs.

The role coordinates important student, trainer, assessment and compliance processes and helps ensure that programs meet Prace requirements, regulatory standards and funding and contractual obligations.

Based primarily at Merrilands Community Centre in Reservoir, the position may also involve visits to course delivery sites and liaison with employers, community organisations and employment service providers across Melbourne’s northern metropolitan region.

Key responsibilities

- conduct pre-training review interviews with prospective students and explain course requirements, expectations and delivery arrangements

- coordinate student enrolment handovers and orientation processes

- monitor attendance, student progress and assessment submissions and follow up outstanding actions

- collect and monitor required student and course documentation, including training plans, practical placement workbooks, digital declarations, unit outcomes and Working with Children Checks

- maintain accurate, complete and audit-ready records

- support trainers with lesson plan tracking, course administration, equipment and learning resources

- monitor practical placement allocations and associated documentation

- conduct delivery-site checks covering facilities, resources, safety and compliance requirements

- contribute to course promotion and marketing activities

About you





You will be an organised and proactive coordinator who understands the importance of accurate records, timely follow-up and clear communication in a regulated education environment.

You will bring:

- sound knowledge of the Australian VET system and current Victorian regulatory and funding requirements

- demonstrated experience coordinating accredited VET programs and associated student, trainer, assessment, placement and compliance processes

- strong planning and organisational skills, with the ability to manage competing priorities and follow outstanding matters through to completion

- excellent attention to detail and the ability to maintain accurate and audit-ready records

- strong digital skills, including experience with Microsoft 365, SharePoint, Google Classroom or similar learning or student management platforms

- strong written and verbal communication and stakeholder engagement skills

- the ability to explain requirements clearly and work effectively with students, trainers, employers, community organisations and colleagues

- the ability to work both independently and collaboratively, exercise sound judgement and identify and elevate risks.

Experience in adult and community education, a Learn Local provider or a similar environment would be highly regarded, particularly where this has involved supporting learners from diverse backgrounds or learners experiencing barriers to participation.

Qualifications and experience

Applicants must have:

- TAE40122 Certificate IV in Training and Assessment, or a successor or equivalent credential meeting current VET regulatory requirements (essential).

- demonstrated experience coordinating accredited VET programs and their associated student, trainer, assessment, practical placement and compliance processes (essential).

- a relevant tertiary qualification in vocational education and training, adult education, education,



community services, business administration or a related field, or substantial equivalent experience in an RTO or adult and community education setting (desirable).

Employment conditions

This is a fixed-term, part-time position working 22.8 hours per week.

The position is classified at Adult Community Education Employees, General Staff Level 6 under the applicable workplace agreement. Salary packaging is available.

Employment is subject to:

- a satisfactory National Police Records Check

- a current Working with Children Check or VIT registration

- a current Victorian driver licence

- satisfactory completion of a six-month probationary period.

A current First Aid certificate is desirable.

This position involves child-connected and child-related work.
