Role Description The Schedule Coordinator is a full-time, on-site role based in Tullamarine, VIC. This position is responsible for managing daily appointment scheduling for technicians, coordinating service visits, and updating calendars to ensure productive use of resources. The role includes answering and directing phone calls, responding to customer queries, and confirming bookings with clients and internal teams.

The Schedule Coordinator also maintains accurate records in scheduling and CRM systems, prepares basic administrative documentation, and collaborates with managers and field staff to adjust schedules as priorities or emergencies arise. Consistent, professional communication and attention to detail are essential in supporting timely, compliant fire protection services.

Qualifications





- Robust interpersonal skills and communication skills to interact effectively with customers, technicians, and internal stakeholders.
- Professional phone etiquette and experience managing inbound and outbound calls in a customer-focused environment.
- Proficiency in appointment scheduling, calendar management, and coordinating multiple service requests or jobs.
- A sound knowledge of Melbourne and surrounding areas.
- Administrative assistance skills, including data entry, record keeping, and basic document preparation.
- Ability to prioritize tasks, manage time effectively, and remain organized in a fast-paced environment.
- Comfort with using scheduling software, CRM systems, and common office applications (e.g., email, spreadsheets).
- High attention to detail and accuracy, particularly when handling customer information and service bookings.
- Previous experience in scheduling, customer service, or office coordination roles; experience in trades or fire protection services is an advantage.
