About the Role

The Scheduling & Administration Coordinator is the engine room of our day-to-day operations. You'll be the friendly first point of contact for many of our customers, and the person who keeps jobs, quotes and schedules moving so our field team can do their best work.
Reporting directly to the Directors, you'll work closely with our Project Managers, field team and Operations & Payroll Coordinator to keep work flowing and information accurate. It's a varied, people-focused role that suits someone who loves being organised, enjoys helping people, and takes pride in getting the details right.
This is a full-time position based at our Invermay office (with occasional site-based work as required). You'll enjoy consistent hours, a stable roster and a supportive team around you.
What You'll Be Doing
Customer & Employee Support
- Handling incoming phone calls, enquiries and communications professionally and promptly
- Making sure messages and job information are passed on clearly and without delay
- Keeping customers, suppliers and employees feeling supported and informed
- Tracking enquiries and following them through to resolution
Scheduling, Quotes & Job Administration
- Coordinating schedules, reschedules and return visits so jobs run on time
- Entering jobs accurately into our system with complete details
- Preparing standard quotes accurately and issuing them within agreed timeframes
- Communicating changes and delays promptly to customers and operational staff
- Maintaining documentation that supports scheduling, billing and reporting — reducing errors, delays and rework
General Administrative & Operational Support
- Completing administrative tasks efficiently and on time
- Keeping systems and processes organised and easy to follow
- Supporting the Directors and operational team so they can focus on delivery
- Identifying, documenting and raising opportunities to improve workflows and systems
About You You're organised, calm under pressure and genuinely enjoy helping people. You take pride in your work, you're great with detail, and you can juggle competing priorities without dropping the ball.
Skills & experience we're looking for:
- Experience in scheduling, customer service or job administration
- Confident, professional phone manner and customer service skills
- Strong attention to detail and excellent organisation and time management
- Clear written and verbal communication
- Confident using job management or scheduling software and general office systems
- Experience managing competing priorities in a busy environment
Knowledge that will help you succeed:
- An understanding of scheduling practices and how to respond when operational priorities change
- Awareness of good customer service and communication standards
- Familiarity with job administration and record-keeping requirements
Qualifications:
- Qualifications in business administration or customer service are desirable (but not essential — the right attitude and experience matter most)
