Role Summary
n
As a Procurement Officer, you will manage end‐to‐end purchasing for hardware, software, and services, partnering closely with Sales, Project Delivery, and Finance to ensure cost‐effective sourcing, timely delivery, and accurate records.
n
You'll run RFQs/RFPs, negotiate with suppliers, raise POs, track orders, and support licensing renewals.
n
Key Responsibilities
n
n
- Source & evaluate suppliers: run RFQs/RFPs, compare quotations, negotiate pricing, payment terms, and SLAs.
n
- Raise & manage POs: prepare purchase requisitions and POs, ensure approvals per policy, maintain accurate item/pricing data.
n
- Licensing & renewals: coordinate renewals for software/subscriptions and maintain entitlement records and expiry calendars.
n
- Order tracking & logistics: monitor lead times and shipment status, coordinate deliveries with vendors/customers across AU/NZ, and elevate delays.
n
- Sales & project support: build BOMs and costings with Sales/PMs,
assist with urgent RFQs and special bids.
n
- Invoice reconciliation: match supplier invoices to POs and receipts, resolve pricing/quantity discrepancies with Finance.
n
- Supplier management: maintain preferred supplier lists, track performance (on‐time delivery, quality), and drive cost‐saving initiatives.
n
- Data & compliance: keep ERP/records up to date, ensure compliance with company policies and trade regulations, manage onboarding docs/NDAs.
n
- Reporting & improvement: meet procurement KPIs (cost reduction, on‐time delivery), standardized templates and workflows.
n

Qualifications & Skills
n
n
- Experience in procurement or purchasing (IT/Telco or distribution environment preferred).
n
- Robust negotiation, attention to detail, and stakeholder communication skills.
n
- Competent in Excel and ERP systems (e.g., Salesforce).
n
- Ability to manage multiple priorities and deliver to deadlines.
n
- Japanese language proficiency is required (business‐level reading and writing).
n
