Job Description

We're growing and looking for a Contracts Administrator to join our team and play a key role in delivering projects on time and within budget.
n
About the Role
n
This is a hands‐on, end‐to‐end Contracts Administration role supporting residential construction projects from procurement through to completion.
n
You'll maintain the company's high standards and be responsible for managing contracts, coordinating subcontractors and suppliers, tracking costs, and maintaining accurate project documentation.
n
As a boutique business, our team works collaboratively across all areas of the business. You will be expected to step in, support different functions, and contribute beyond your core responsibilities when needed.
n
Key Responsibilities
n
n
- Prepare, review, and manage contracts, subcontracts, purchase orders, and variations
n
- Ensure quality control of contracts, ensuring to reflect project scope, pricing, timelines, warranties, and obligations.
n
- Maintain contract registers and track obligations, milestones, and key dates
n
- Manage tendering processes including RFQs, quote comparisons, and procurement scheduling
n
- Coordinate subcontractors, suppliers, and ensure compliance (insurances, licences, WHS), including alignment with scheduling, budgets and timelines.
n
- Process progress claims, invoices, and manage payment schedules
n
- Track project costs, variations, and support forecasting and reporting
n
- Liaise with project teams, consultants, and stakeholders
n
- Maintain project documentation including RFIs,
site instructions, and meeting minutes
n
- Assist with risk assessments related to contracts and provide recommendations to mitigate contract risk (delays, defective work, cost overruns).

- Ensure compliance with NSW legislation, NCC, and residential building standards
n
- Support broader business operations as required
n
n
About You
n
n
- 3+ years' experience in Contracts Administration (residential construction preferred)
n
- Strong understanding of contracts, procurement, and cost control
n
- Experience with variations, progress claims, and subcontractor management
n
- Highly organised with strong attention to detail
n
- Excellent communication and coordination skills
n
- Proficient in construction software and Microsoft Office
n
- Relevant qualifications in Construction Management, Building, or similar (desirable or experience equivalent)
n
