Lumsden Psychology is a growing multidisciplinary psychology practice, and we are seeking a full-time Receptionist to become an integral part of our team.
This is a varied and important role supporting the day-to-day administrative operations of the practice. You will work closely with our clients, clinicians and broader team to help ensure our services run efficiently, professionally and with the warmth and care our clients expect.

About the Role
As our Receptionist, you will play an essential role in delivering high-quality front-of-house and administrative support across the practice.
This position offers considerable variety and will suit someone who takes pride in keeping a busy professional environment organised and running smoothly. You will be involved in client communication, appointment management, clinician diary coordination, billing, record management, referral administration and general practice administration.
You will often be one of the first points of contact for our clients. A calm, compassionate and skilled approach is therefore essential, particularly when communicating with people who may be experiencing distress,
uncertainty or challenging circumstances.
The successful applicant will be proactive, resourceful and able to balance excellent client service with accuracy, confidentiality and the operational needs of a busy healthcare practice.
Key Responsibilities
- Welcome clients and create a warm, respectful and skilled first impression.
- Manage incoming telephone calls, emails and client enquiries in a timely and professional manner.
- Coordinate appointments, clinician diaries and bookings to support effective use of clinical time.
- Respond appropriately and sensitively to clients while maintaining professional boundaries and referring clinical matters to the appropriate clinician.
- Process payments, invoices and routine billing requirements accurately.
- Create, maintain and update client records in accordance with privacy, confidentiality and practice requirements.
- Support referral administration and the timely flow of information within the practice.
- Support clinicians with administrative requirements so they can focus on the delivery of high-quality client care.
- Assist with general office administration, documentation and workflow.
- Maintain an organised, professional and welcoming reception and office environment.
- Identify administrative issues and take appropriate initiative to resolve them or escalate them when required.
- Contribute positively to team communication, collaboration and the continuous improvement of administrative processes.

Experience & Skills
Previous experience in reception, administration, medical administration or customer service will be highly regarded.
Experience within a healthcare, psychology, medical or allied health environment is desirable but not essential.
You should be confident using computer-based administrative systems, email, Microsoft Office and appointment or practice-management software.
Previous experience with Halaxy, Medical Objects or similar healthcare systems would be advantageous; however, training can be provided to the right applicant.
