Health, Safety and Environment Administrator

Location: Tomago BESS Project, Newcastle NSW

Role Type: Full Time Contract (via own Pty Ltd or Trust)

Reporting to: Project HSE Manager

Pay: Competitive Salary $$

Role Summary

The Site HSE Administrator is responsible for providing administrative services, coordination and document control support to the Health, Safety and Environment (HSE) team to assist in the effective implementation of the Project Health and Safety Management Plan (HSMP), Environmental Management Plan (EMP) and supporting sub-plans. The role supports the maintenance of accurate HSE records, reporting, and compliance documentation, enabling the project team to meet legislative, contractual and organisational requirements.

The role is site-based and operates in a dynamic construction environment. Regular interaction with construction personnel, subcontractors and visitors is required. Occasional travel to project offices or other project locations may be necessary.

The Site HSE Administrator is expected to actively support the project's safety culture by demonstrating skilled behaviours, maintaining confidentiality, and contributing to the effective implementation of the Health, Safety and Environmental Management System.

Key Responsibilities

To contribute to the HSE Team effectively and efficiently supporting delivery of the project, the HSE Administrator will:

• Provide day-to-day administrative support to the project HSE team including triaging requests and communications within the HSE mailbox

• Maintain HSE records, registers and databases

• Ensure HSE documentation is current, accurate and readily accessible including updating noticeboards

• Assist in the preparation, formatting and distribution of HSE documentation and reports





• Support document control in accordance with project requirements

• Coordinate and schedule site inductions

• Verify completion of induction requirements prior to site access

• Maintain induction and competency records

• Assist with verification of licences, qualifications and competencies

• Support subcontractor onboarding and mobilisation activities

• Maintain project records including site attendance records, visitor registers, HSE registers (including training matrices), emergency contact lists, plant and equipment records etc.

• Maintain contractor compliance records per client site requirements, mobilisation documentation, and HSE systems within Donesafe

• Perform other administrative duties as requested by the Project HSE Manager such as minuting meetings for example

Qualifications

• Certificate III or IV in Business Administration or similar

• Previous administration experience in construction, infrastructure, mining or industrial environments

• Intermediate to advanced Microsoft Office skills (Word, Excel, Outlook and PowerPoint)

• Construction White Card (or ability to obtain)

Desirable

• Certificate IV in Work Health and Safety

• Experience using electronic HSE management systems

• Document control experience

• Experience supporting ISO 45001 and/or ISO 14001 management systems

Skills and Experience

• Strong organisational and administrative skills

• Excellent written and verbal communication

• High level of accuracy and attention to detail

• Ability to manage multiple priorities

• Strong document control capability

• Competent data entry and reporting skills

• Ability to work collaboratively with multiple stakeholders

• Proficient in Microsoft Office and electronic management systems
