AVADA Traffic Management is seeking a capable and highly organised Plans & Permits Administrator to join our Victorian team in Yarraville. About the role
Based at our Yarraville depot, you will support the preparation, submission and coordination of traffic management plans, permits, and associated project documentation.
You will work closely with internal operational teams, clients, councils, road authorities, and other stakeholders to ensure applications are submitted correctly, approvals are tracked and projects are ready to proceed.
This is a fast-paced coordination role with variety, responsibility and the opportunity to develop specialist knowledge in traffic management planning, permits, and regulatory requirements.
What you will do
- Submit permit applications to councils, road authorities, and relevant government agencies
- Track applications, approvals, conditions, expiry dates, and outstanding actions
- Liaise with councils, road authorities, clients, contractors and internal teams regarding applications and approvals
- Maintain accurate project records, permit registers, databases, and document-control systems
- Follow up outstanding applications and provide clear, timely status updates
- Coordinate plans and permits to meet project timelines, client requirements, and operational needs
- Support scheduling, reporting, filing and general administration for the Plans & Permits team

About you
You are organised, proactive and meticulous. You enjoy bringing order to complex work, managing multiple deadlines and ensuring nothing is missed.
You will bring:
- Administration,
coordination, document control, or project support experience
- Strong attention to detail and the ability to produce accurate, high-quality documentation
- Proven ability to manage competing priorities and meet deadlines in a fast-paced environment
- Clear written and verbal communication skills
- Confidence dealing professionally with internal teams, clients, councils, authorities, and contractors
- Strong computer skills, including Microsoft Office, spreadsheets and database or document-management systems
- A practical, solutions-focused approach and the ability to work independently as well as part of a team
- A willingness to learn industry systems, traffic management requirements, and permit processes
Experience in traffic management, permit applications, traffic management plans, council or road authority applications, civil construction, infrastructure, transport, or utilities will be highly regarded. However, training will be provided for a capable administrator with the right attitude and aptitude.
