AMA Queensland invites an enthusiastic, highly organised and proactive candidate to join the Next Practice team as a part-time Senior Medical Receptionist, with the potential to become full-time. This role is ideal for an experienced medical receptionist who is confident working in a busy medical centre, comfortable using technology, and passionate about curating a seamless, welcoming and premium-feeling patient journey from the first enquiry through to follow-up care.

We are looking for someone who is resourceful, calm under pressure and confident using systems such as Best Practice Software, HotDoc and Microsoft Teams to support efficient patient care, smooth daily operations and an exceptional end-to-end patient experience with a premium, considered feel.

The successful candidate will be a natural organiser and executor of tasks: someone who anticipates what needs to be done, follows through without prompting, solves problems practically and keeps reception, patient communications and administrative workflows running smoothly.

What we think you will do most days:

Communication

- Exercise confidentiality in regard to patient care and all aspects of the practice.

- Greet patients and other callers at the practice in a courteous and efficient manner.

- Keep patients informed of any delays.

- Create a positive and premium-feeling patient journey by anticipating patient needs,



guiding patients through each step of their visit and ensuring communication feels clear, calm and considered.

- Deal with referring doctors and hospital staff courteously and helpfully.

- Answer the telephone promptly and courteously.

- Record messages and make sure they are attended to and brought to the attention of the relevant person.

- Make outgoing phone calls as requested and,

- Manage daily correspondence.

Appointments

- Arrange appointments for patients following set booking procedures

- Check off patients’ names on arrival.

- Accurately update patient information, medical records and appointment details using Best Practice Software and related digital systems.

- Obtain appropriate details from recent patients to maintain the patient database.

- Gather medical records and reports in readiness for consultations.

- Photocopy records for files.

- Organise pathology records for checking, response and filing and,

- File medical records after use.

- Use HotDoc confidently to support online bookings, patient communications, recalls and appointment workflows.

- Coordinate appointment flow, recalls, reminders and patient touchpoints so each patient feels informed, prepared, supported and cared for in a polished, premium environment before, during and after their consultation.

- Use Microsoft Teams and other digital tools effectively to communicate with clinicians, administration team members and practice leadership.





- Financially consenting patients and advising on credit or billing policy of the practice with confidence

- Issue patient invoices and receipts

- Conduct daily banking and reconciliation

- Attend to account queries

- Follow up bad debts with periodic proactiveness.

Other

- Type, file and post all correspondence.

- Arrange and check appointment schedules lists with hospitals and notify referring doctors if necessary.

- Complete day sheets.

- Assist with accreditation requirements

- Assist with quality improvement measures

- Attend to routine cleaning and stocking requirements; ensure all furniture and equipment is clean and tidy.

- Prepare examination room.

- Order stationery and surgical supplies when requested.

- Report accidents, injuries and illnesses and,

- Deal with emergencies when necessary, following set procedures and triaging protocol

- Prioritise tasks, follow through on actions and proactively identify opportunities to improve reception and administrative processes
