The Opportunity
This is not a diary-management job. Not a coffee-and-calendars situation. We’re looking for a true right-hand to the CEO and a critical enabler for the senior executive team; someone who can hold a lot of complexity with a calm head, knows when to call a spade a spade, and brings real commercial and emotional intelligence to everything they touch.
Whether you are a seasoned EA who has outgrown a role that doesn’t challenge you, an exceptional operator from a project, communications, or chief-of-staff background, or simply an up-and-comer who backs themselves to execute in fast-moving environments, we want to talk.
We are a Private Equity-backed, family-owned, Newcastle success story, and we are only just beginning. Based in our brand-new Boolaroo facility, this role is five days on-site in a high-energy, fun, deeply collaborative office (with flexibility as needed). For the right person, there is real scope to shape how this role evolves as the business scales.
What You’ll Do
This is not a role you can neatly define with a list, we are searching for a character who will help define what this role means, but as an example, some of what you’ll be across includes:
Executive Support
• Own the CEO’s calendar, proactively managing priorities, travel, and prep so every meeting and commitment lands with purpose
• Support the COO, CFO and CCO, acting as the connective tissue between the CEO and direct reports
• Manage confidential matters with absolute discretion
• Work out the things that are missing that the executive team haven’t noticed yet
Operations & Rhythm
• Keep the executive team’s rhythm tight; driving agendas, tracking actions, and ensuring commitments don’t fall through the cracks
• Coordinate cross-functional projects and initiatives where the Executive team’s involvement is required
• Manage travel logistics end-to-end for the executive team, including international travel
Culture & Presence
• Represent the CEO and our culture in every interaction; with staff, suppliers, customers, and guests
• Help maintain an executive environment that is high-performing, focused, and (importantly) enjoyable
• Be a calm, anchoring presence in a fast-moving business - the person everyone knows they can count on
Who You Are
• You write lists. You start every day with a plan, and know how that adds up to a productive week.
• Exceptionally organised but not rigid. You can hold a complex, shifting calendar and respond to the unexpected without drama
• A communicator of the highest order, both written and verbal. You can draft a sharp executive briefing and walk into a room with confidence
• High EQ. You read people well, manage up and across with ease, and know how to get things done without ruffling feathers unnecessarily
• Commercially switched on. You understand context, not just tasks, and your work reflects it
• Discreet. You will be trusted with sensitive information about the company, its people, and its strategy. That trust is non-negotiable
• Proactive by nature. You don’t wait to be told what needs doing. If you’ve seen it, you’ve already started
• Comfortable with ambiguity and energised by growth. Sheffield is not a slow business,
so you’ll need to love that
Experience that would be helpful but not essential
• Robust command of Claude/ChatGPT/Others (for your own benefit), M365 (Outlook, Teams, PowerPoint, Excel and SharePoint)
• Proven EA, Chief of Staff, or senior operations experience supporting C-suite or senior leadership in a fast-paced environment. NOT ESSENTIAL
• Experience managing complex, multi-leg international travel logistics
• Exposure to PE-backed or high-growth business environments is a genuine advantage
• Well versed at untangling knots
