Expression of Interest – Defence & Marine Project Coordinator

Who we are

Legeneering is a Perth-based provider of integrated engineering, fabrication, maintenance and project delivery services supporting Australia’s defence, marine and industrial sectors.

Our Defence, Marine & Industrial Services team delivers mechanical, piping, structural, fabrication, installation, maintenance and sustainment projects across naval, commercial marine and industrial assets.

We work closely with clients, OEMs and delivery partners to develop practical solutions and execute complex projects safely, efficiently and to a consistently high standard.

The opportunity

Due to continued growth across our defence and marine portfolio, Legeneering is seeking expressions of interest from motivated and well-organised Project Coordinators interested in supporting current and upcoming projects.

Based in Henderson and reporting to the relevant Project Manager, the Project Coordinator will support projects from planning and mobilisation through execution, commercial administration and close-out.

You will coordinate the people, documentation, materials, equipment and information required to convert an approved scope into a safely and successfully delivered project. This includes workpack development, inspection and test planning, procurement, workshop coordination, personnel readiness, mobilisation, progress tracking, variation management, invoicing support and project close-out.

The role will involve working across Legeneering’s project, engineering, fabrication, quality, mobilisation and project controls functions, while maintaining direct communication with clients, subcontractors, suppliers, OEMs and, where applicable, Classification Societies.

Duties and responsibilities

- Coordinate project planning and execution activities with clients, Project Managers and internal delivery teams.

- Review scopes of work, drawings, specifications, schedules and contractual deliverables to identify project requirements and execution constraints.

- Assist with the development, review and issue of project documentation, including workpacks, Inspection and Test Plans, procedures, schedules, registers, reports and handover documentation.

- Coordinate technical documentation through internal review, client review and approval, ensuring comments are addressed and documents are promptly resubmitted.

- Determine project requirements for labour, competencies, materials, fabrication, tooling, equipment and consumables, and drive actions to close identified gaps.

- Coordinate personnel availability, onboarding, training,

inductions, mobilisation and site-access requirements.

- Manage procurement activities across materials, tooling, equipment, fabrication and subcontracted services, including obtaining quotations, raising purchase requisitions and tracking purchase orders and deliveries.

- Coordinate workshop fabrication, inspection, testing and delivery activities in accordance with project schedules and quality requirements.

- Arrange third-party inspection, testing, calibration and certification of equipment and completed work where required.

- Maintain project schedules, action registers, procurement trackers, deliverables registers and cost forecasts.

- Monitor project progress, expenditure and resource utilisation, providing accurate cost, schedule and status reporting to the Project Manager.

- Support site and vessel-based execution teams by responding to technical, logistical and commercial requirements as they arise.

- Identify changes to scope, prepare variation submissions and track client approvals and purchase orders to minimise disruption to execution.

- Maintain complete and current project records within Legeneering’s ERP and document-management systems.

- Coordinate project completion, demobilisation, handover documentation and close-out activities.

- Support Project Controls with progress claims, invoicing, client sign-off and commercial reconciliation.

- Identify and escalate project risks, constraints and emerging issues before they affect safety, quality, cost or schedule.

- Participate in project reviews and lessons-learnt activities to improve future delivery performance.

- Promote safe work practices and ensure compliance with Legeneering’s quality, health, safety and environmental requirements.

Minimum position requirements

- A qualification in project management, engineering, construction management or a relevant trade discipline.

- At least three years’ experience in project coordination, project engineering or a comparable delivery role.

- Experience within defence, shipbuilding, marine sustainment, fabrication, mechanical installation, maintenance.

procurement, fabrication, logistics and site execution.

- Working knowledge of project documentation such as workpacks, Inspection and Test Plans, technical procedures, schedules, progress reports and handover records.

- Experience managing project costs and commercial processes, including quotations, purchase orders, variations, progress claims and invoicing.

- Strong planning, organisation and communication skills, with the ability to manage competing priorities and follow actions through to completion.

- Confidence liaising directly with clients, suppliers, subcontractors and internal stakeholders.

- Competence using Microsoft Office applications, particularly Excel, Word, Outlook and Project or equivalent scheduling software.

- A practical, accountable and solutions-focused approach to project delivery.

- Commitment to participating in Legeneering’s QHSE, cultural engagement and cultural safety programs.
