About the role

This is a senior role that combines front-desk reception duties with administrative leadership, operational management, practice support, and contributing to the ongoing development and growth of the clinic. You will directly report to the Director on a weekly/fortnightly basis. This role is available on either a part time or full-time basis, depending on the successful applicant's availability and experience.

Key responsibilities
Provide a warm, professional, and welcoming experience for patients and visitors
Manage appointments, scheduling, recalls, and clinic communications
Coordinate patient onboarding and administrative processes
Support clinicians with day-to-day administrative and operational tasks
Manage billing, invoicing, Medicare claims, and private billing processes
Maintain accurate patient records and ensure confidentiality standards are upheld
Liaise professionally with GPs, specialists, allied health providers, insurers, and external stakeholders
Support productive clinic operations and help improve workflows and systems
Assist with rostering, supply management, and general practice coordination
Handle enquiries and resolve issues in a calm, professional,



and solutions-focused manner

About you
Have previous experience in practice management or senior healthcare administration
Be highly organized with strong attention to detail
Demonstrate excellent communication and interpersonal skills
Present professionally and build strong relationships with patients and colleagues
Be able to manage multiple tasks and priorities in a quick-paced environment
Enjoy improving systems and finding practical solutions to operational challenges
Be confident using medical software and digital systems
Have sound knowledge of Medicare billing and private billing procedures
Work effectively both independently and within a team environment
Hold Australian permanent residency or unrestricted working rights
