About the Role
We are looking for an experienced, proactive highly organised and adaptable Executive Assistant (EA) to support our Canberra Office Director.
This isn't a traditional Executive Assistant role. Alongside providing high-level support to the Director, you'll be involved in client delivery, client compliance obligations, business operations and firm-wide projects. It's a varied role for someone who enjoys being across the detail, solving problems and keeping things moving.
No two days will be the same. You'll work closely with the Director while collaborating with team members across our Canberra, Brisbane and Philippine offices. You'll need to be comfortable managing competing priorities, adapting quickly as priorities change and proactively identifying what needs to happen next.
You'll move seamlessly between managing the Director's workflow and schedule, supporting clients liaising with the ATO, supporting compliance activities, coordinating client administration and contributing to broader business projects.
Strong communication skills, attention to detail and a solutions-focused mindset will be essential in ensuring client confidentiality and priorities are managed effectively and work is delivered accurately and on time.
You'll also be part of our Client Delivery Team (CDT), working alongside administrators and managers to support our accounting and bookkeeping teams and ensure the smooth and timely delivery of client services and compliance projects.

What You'll Be Doing
Executive & Director Support:
Managing and monitoring the Director's inbox and correspondence
Coordinating and overseeing the Director's calendar and schedule
Managing competing priorities, follow-ups and requests
Proactively supporting the Director to keep priorities moving and deadlines on track
Client & Compliance Support:
Supporting the processing and coordination of compliance work to meet client and ATO obligations
Responding to incoming calls and ensuring requests are appropriately actioned
Reviewing and actioning ATO correspondence in a timely manner
Liaising with external agencies including the ATO and ASIC
Managing and processing invoices for client work
Assisting with client queries and supporting accountants and bookkeepers
Supporting client onboarding and offboarding
Ensuring client ASIC compliance requirements are maintained
Assisting with entity incorporations and related administration
Business & Operations
Supporting projects and initiatives across the firm
Working collaboratively with administrators,
managers and accounting teams
Identifying opportunities to improve and streamline processes
Helping manage workflow and ensure work is completed accurately and on time
Taking ownership of tasks and seeing them through to completion
About You
We're looking for someone who:
Has proven experience in an Executive Assistant, Senior Administration or similar role, ideally within professional services or accounting
Has experience supporting senior executives and managing complex calendars, correspondence and competing priorities
Is highly organised, proactive and able to anticipate what needs to happen next
Is confident communicating with clients, senior team members and external agencies such as the ATO and ASIC
Has excellent written and verbal communication skills and a professional approach
Is comfortable working across multiple systems and learning new technology quickly
Takes ownership, uses initiative and can work independently with minimal supervision
Enjoys variety and is comfortable moving between executive support, client administration and business projects
Has robust attention to detail and takes pride in producing accurate, high-quality work
Is motivated to develop their career and contribute to a high-performing team
Experience & Skills
The following experience would be highly regarded:
2+ years' experience working in an accounting practice in a similar role, or 3+ years' administration experience within a professional office
Experience with Xero and/or XPM
Experience dealing with the ATO and using the ATO porta
Experience managing projects or streamlining processes
Experience working with clients, managers and senior executives
Experience with Xero, XPM and the ATO is desirable but not essential. We're more interested in finding someone with the right approach, capability and willingness to learn.
What We're Offering
A salary package between $89,600 to $112,000 based on experience, along with performance-based incentives and genuine opportunities for career development and progression.
