Air Adventure is looking for a Bookkeeper / Accounts Assistant to join our growing team.
We are a multi-award winning, Hall of Famer that specialises in private aircraft tours, golf travel and premium outback adventures, delivering unique, high value experiences across Australia, Recent Zealand and Africa.
Our product is exciting, detailed and operationally complex, and we need someone who enjoys working with numbers, systems and cross-team collaboration to keep everything on track.About the Role
This is a part-time position, working 20 hours per week.
The role is hybrid - work from home plus our Ocean Grove office.
As a hands-on Bookkeeper / Accounts Assistant, you will support the Accounts Manager across all areas of financial operations.
Your responsibilities will include managing accounts payable and receivable, performing reconciliations, preparing reports, and assisting the wider team with financial processes.
This role requires strong communication skills, as you will collaborate across departments to ensure financial accuracy and alignment with operational activities.
What You Will Be Doing
Managing accounts payable including supplier invoices, credit notes and staff reimbursements
Processing credit card receipts and ensuring all expenses are accurate and approved
Reconciling supplier charges against agreed rates and resolving discrepancies
Allocating costs to the correct tour codes, purchase orders and departments
Preparing and generating projects and purchase orders in Xero
Managing accounts receivable including receipting payments and monitoring outstanding balances
Following up outstanding accounts and maintaining clear records of communication
Reconciling bank accounts, client receipts and credit cards
Maintaining financial tracking spreadsheets including tour income vs expenditure
Supporting reporting requirements and assisting the Accounts Manager as needed
Providing general administrative support, including assisting with client enquiries when required
About You
Experience in an accounts and administrative role
Strong attention to detail and accuracy
Confident working with accounting systems (Xero preferred) and spreadsheets
Highly organised with strong time management skills
Comfortable managing multiple tasks and priorities
Strong communication skills and ability to work across teams
Proactive, reliable and solutions focused
