The Clinic
An established and highly regarded private specialist practice is seeking an experienced Assistant Practice Manager to support the day-to-day operations of its growing network of seven locations across Perth.
The Position
This is not a traditional reception-based position.
Working closely with the Practice Manager, you will act as a trusted second-in-command across the practice network, regularly visiting different locations to support teams, troubleshoot operational issues and ensure each site is running effectively.
You'll be someone who enjoys being where you're needed most. One day you may be resolving a complex rostering issue, the next helping a team improve a process, reviewing spreadsheets or supporting the Practice Manager with the operational demands of a busy specialist practice.

About the Role
As Assistant Practice Manager, you will:
- Support the Practice Manager with the daily operations of seven practice locations
- Regularly travel between sites to provide hands-on operational support
- Act as a key point of contact for practice staff when operational issues arise
- Coordinate and troubleshoot complex staff rosters across multiple locations
- Assist with workforce planning, leave coverage and changing operational requirements
- Use Excel and spreadsheets confidently to maintain, analyse and report operational information
- Identify problems and take ownership of finding practical solutions
- Support reception and administration teams with workflow, systems and processes
- Help ensure consistent procedures and service standards are maintained across all locations
- Assist with onboarding, training and supporting team members
- Liaise with clinicians, administrative staff and management
- Support patient administration and practice processes when required
- Identify opportunities to improve efficiency and streamline day-to-day operations
- Provide additional support during periods of leave, increased activity or staffing changes
- Work closely with the Practice Manager as the organisation continues to grow
About You
We're looking for someone who is highly organised, adaptable and naturally solutions-focused.
You may currently be an Assistant Practice Manager, Senior Medical Administrator, Practice Coordinator, Senior Medical Receptionist or an experienced healthcare professional looking to move further into practice operations.
Candidates with a nursing or clinical background combined with strong administration and operational skills are also encouraged to apply.
Most importantly, you'll be someone who can walk into a busy practice,
quickly understand what needs attention and confidently help get things back on track.
You will ideally bring:
- Previous experience within a medical, specialist or healthcare environment
- Experience supporting the operations of a busy practice or healthcare service
- Strong rostering and workforce coordination skills
- Confidence managing complex and frequently changing rosters
- Strong Excel and spreadsheet skills
- Excellent organisational and problem-solving abilities
- The confidence to troubleshoot issues independently and escalate when appropriate
- Strong communication skills and the ability to work effectively with different personalities
- A hands-on approach and willingness to help wherever needed
- The ability to manage competing priorities across multiple locations
- High attention to detail and strong administrative skills
- A calm, skilled approach in a fast-moving environment
- The ability and willingness to travel regularly between seven practice locations across Perth
Previous leadership or 2IC experience will be highly regarded; however, attitude, capability and the ability to take ownership will be equally important.
The Opportunity

You'll have the opportunity to understand the entire practice network, build relationships across seven locations and become an integral support to the Practice Manager
