KG Foods is a family-owned Australian food manufacturer and wholesaler with over 40 years of experience. The company has expanded its dairy manufacturing presence in South Australia through the acquisition of Paris Creek Farms. We are seeking an experienced Administration and Finance Coordinator to support the growth of both businesses in South Australia and nationwide.

The Administration & Finance Coordinator is responsible for accurate, timely financial. and administrative support across both Paris Creek Dairy and KG Foods. Primary duties include invoice processing and data entry, month‑end reconciliations, maintaining data integrity in the financial/system platforms, and leading site-level budgeting and forecasting. The role supports the on-site GM and office staff while maintaining close, regular communication with Head Office finance. You will require to work out of both sites (Pooraka and Paris Creek (Meadows). Car allowance will be provided to support travel.

Key Responsibilities

- Accurately enter purchase invoices, supplier credits and other transactions into the financial system in line with Head Office procedures.

- Ensure Key customers accounts are up to date and pricing is managed in the system.

- Ensure timely processing to meet payment and reporting deadlines.

- Prepare and reconcile month‑end balances for site accounts (AP, accruals, prepaid, intercompany where applicable).

- Investigate and resolve variances; prepare working papers and supporting documentation for Head Office review.

- Maintain high data integrity in the accounting/ERP system; perform regular data checks, cleanses and audits.

- Act as first-line system support for site office staff: troubleshoot data entry issues,



provide guidance on workflows, escalate complex issues to Head Office IT/Finance.

- Support roll-out of system updates, templates and process changes.

- Lead monthly budgeting and regular forecasting for the dairy, consolidating inputs from operations and aligning with Head Office timelines and formats.

- Monitor actuals vs budget/forecast and produce variance analyses with actionable recommendations.

- Communicate forecast changes and financial outlook to the GM and Head Office finance team.

- Provide administrative support to site office staff and the GM (financial reporting, purchase order follow-up, vendor liaising).

- Maintain regular, clear communication with Head Office Finance, Operations and sales teams to ensure alignment of processes and reporting.

- Support internal and external audits by preparing requested documentation and explanations.

Required Skills & Experience

- 5+ years’ experience in accounting/finance or administration, preferably in dairy manufacturing sector, manufacturing or multi-site operations.

- Practical experience with accounts payable, month‑end reconciliation, budgeting and forecasting.

- Proficiency with accounting/ERP systems (and solid Excel skills.

- Strong attention to detail and commitment to data accuracy.

- Good communication skills; able to liaise effectively between site staff and Head Office.

- Problem-solving attitude and ability to work independently in a busy on-site environment.

- Must have a car to be able to travel to both sites.

- You will be required to work at both sites. 2 days Pooraka and 3 days Meadows. Car allowance will be provided.
