About Us Multiplant is entering an exciting phase of growth across Civil & Construction, Bulk & Detailed Earthworks, Dewatering and maintenance operations. We are seeking a practical, commercially minded Contracts Administrator to support project delivery and protect our commercial position from contract award through to close-out.
About the Role This is a full-time, Perth-based role, with travel to project sites as required. Reporting to the Commercial Manager, the Contracts Administrator will administer head contracts, subcontracts, procurement, payment claims, variations, notices, registers and close-out across civil and construction projects.
The successful candidate will work closely with Project Managers, Engineers, site teams, finance, HSEQ, subcontractors and clients to maintain contract compliance, support cash flow, protect entitlement and ensure commercial issues are identified early and managed properly.
Key Responsibilities Contract Administration & Governance
- Administer head contracts and subcontracts from award through to close-out in accordance with contract terms, delegations and internal governance.
- Maintain contract registers including correspondence, notices, early warnings, variations, claims, approvals, securities, insurances and close-out actions.
- Prepare, issue and track contractual correspondence, notices and commercial records within required timeframes.
- Support audit readiness by maintaining clear, complete and retrievable commercial records.
Subcontracts & Procurement
- Prepare RFQs, scopes of work, tender comparisons, recommendations and award documentation for subcontractors and suppliers.
- Administer subcontract progress claims, variations, EOTs, disputes, performance reviews and final accounts.
- Coordinate with project teams, cost control and finance to validate subcontractor cost-to-date, commitments and forecast exposure.
Claims, Variations & Entitlement
- Identify, record and support the assessment of scope, time and cost impacts, including change events, EOTs, disruption, delays and variations.
- Prepare and submit client variations, claims and supporting evidence in line with contract requirements and commercial strategy.
- Maintain the change register and evidence files so entitlement is protected and approval workflows remain visible.
Payments, Reporting & Close-Out
- Prepare and support client payment claims (PPPC) with appropriate substantiation and within contractual timeframes.
- Assist with project reporting, cash flow, forecast assumptions, risk and opportunity updates, and commercial dashboards as required.
- Support final account preparation, negotiation and contract close-out, including release of securities, defects/warranty items and lessons learned.
What You Will Bring
- 3-5 years of experience in contract administration in civil construction, earthworks, dewatering, maintenance, utilities, or related project environments.
- Working knowledge of head contracts, subcontracts, payment claims, variations, notices, EOTs, claims, final accounts and commercial close-out.
- Ability to read and administer contract terms, maintain commercial registers and produce clear written correspondence.
- Strong attention to detail, document control discipline and evidence management capability.
- Competent in Microsoft Word and Excel, including registers, trackers, and claim substantiation.
- Strong communication skills and the confidence to issue transparent, well-substantiated commercial correspondence.
- A valid Australian C Class driver licence and willingness to travel to project sites when required.
Highly Regarded
- Formal qualification in contract management, quantity surveying, commercial management, construction management, law, business or commerce.
- Experience with tier-one clients, mining, resources, infrastructure or project delivery environments.
- Training in commercial law, procurement, project controls or dispute/claims management.
- Exposure to cost control, forecasting, dashboards or project financial reporting.
