Nexa Finance is the trading name of Oak & Prime Pty Ltd, an Australian proprietary company established in 2018. Originally based in Gungahlin in Canberra, now moved to Belconnen, we provide mortgage and finance broking services for first-home buyers, refinancers, property investors and business clients. We are currently seeking an experienced Office Manager.

The Office Manager will join as another team member, be based at the Belconnen office and work directly with the directors. This is a hands-on operational role with broad responsibility for coordinating office systems, administrative workflows, staff processes, records and external service providers. The position is intended to centralise administrative functions currently shared across the existing team rather than manage a large administrative department.

Duties include:

- Plan, review and improve office administrative systems, procedures, workflows and service standards to support the efficient operation of the business.
- Coordinate day-to-day office operations, establish workflow priorities, allocate administrative tasks and monitor their completion and quality.
- Manage office records and administrative workflows associated with client files, lender documentation, databases, filing and correspondence, ensuring accuracy,



confidentiality and appropriate record retention.
- Coordinate diaries, meetings, staff schedules and administrative communication between the directors, employees, clients, lenders, referral partners and external service providers.
- Manage office suppliers, purchasing, equipment, routine office expenditure and invoice records, and liaise with IT, accounting, property and other professional service providers.
- Implement and maintain workplace policies and procedures relating to work health and safety, privacy, information security and relevant administrative compliance requirements.
- Coordinate recruitment administration, onboarding, induction, leave records, timesheets, payroll inputs, staff training and performance-review processes.
- Monitor workloads and office service levels, identify administrative bottlenecks and implement practical process improvements to improve operational efficiency.
- Prepare routine management reports relating to office operations, staffing, suppliers, expenditure and administrative performance.

Applicants must have:

- A relevant Diploma or higher qualification in business, administration, human resource management or management, or at least three years of relevant experience.
- Demonstrated experience in office management, business administration or a similar operational management role.




- Proven ability to coordinate a small team, prioritise competing workflows and follow matters through to completion.
- Strong records-management skills, attention to detail and the ability to handle confidential client and business information.
- Competence with Microsoft 365 and confidence in learning CRM, document-management and finance-industry systems.
- Strong written and verbal communication skills and a professional, client-focused approach.
- Professional proficiency in Mandarin and English is required due to the role's regular communication with the firm's significant Mandarin-speaking client and referral-partner base.
- Experience in mortgage broking, lending, finance or another regulated professional-services environment would be highly regarded but is not essential.
- Practical understanding of workplace policies, work health and safety, privacy and information-security requirements.
