We are looking for an experienced and highly capable Structural Discipline Administrator to join our team and provide high-level administrative and operational support to our Structural Discipline.

This is not a role for someone who simply waits for the next task to be handed to them.

We are looking for someone with initiative, drive and sound judgement who enjoys taking ownership, understands what needs to happen next and has the confidence to make things happen. You will work closely with the Structural Director and the wider structural team, becoming an integral part of the day-to-day operation of the discipline.

About the role

The Structural Discipline Administrator will be responsible for coordinating and managing a broad range of administrative, operational and financial activities supporting the Structural team.

You will be trusted to manage your workload, anticipate the needs of the Director and team, and keep projects and administration moving efficiently. The ability to manage up, communicate clearly and professionally, and confidently prioritise competing demands will be critical to your success.

Your responsibilities will include:

- Preparing fee proposals, certificates, reports and other project documentation

- Coordinating the establishment of new projects within Total Synergy

- Maintaining the Structural team's current project and workload registers, including resource coordination

- Managing and prioritising correspondence,



messages and emails for the Structural Director

- Coordinating meetings, site inspections, travel and other commitments

- Preparing, issuing and tracking project documentation

- Providing financial administration, including invoicing and debt collection

- Monitoring administrative requirements and following up actions to ensure deadlines are met

- Providing day-to-day administrative support to the Structural Director and wider Structural team

- Working closely with the broader administration team to ensure consistency and efficiency across the business

- Identifying opportunities to improve systems, processes and the way the Structural discipline operates

About you

We are looking for someone who is experienced, organised and proactive, with the confidence to take ownership of their responsibilities and work with a high degree of autonomy.

You will ideally have:

- Previous experience in a senior administration, team administration, project administration or similar role

- Exceptional organisational and time management skills

- Solid written and verbal communication skills and a professional telephone manner

- The ability to confidently manage up, anticipate requirements and keep others accountable to deadlines

- Excellent attention to detail and a commitment to getting things right

- The ability to prioritise and manage multiple competing demands in a busy environment

- Initiative,



motivation and the drive to identify what needs to be done rather than waiting to be asked

- Strong interpersonal skills and the confidence to work closely with senior staff and technical professionals

- The ability to work independently while being an active and supportive member of a team

- A practical, solutions-focused approach and the ability to use sound judgement

- Proficiency in Microsoft Word, Excel and Outlook

- Previous experience in the construction or engineering industry would be advantageous, but is not essential
