About AFAC
AFAC is Australia and New Zealand’s Council for Fire and Emergency Services and represents 35-member organisations who are totalling 295,000 firefighters and emergency workers.
AFAC seeks to amplify the collective capability and capacity of emergency management organisations. Through connection, collaboration, and innovation, they support members to advance the safety and resilience of communities.
AFAC has several business units that facilitate a broad range of activities on behalf of its members. These include professional services, aircraft contract management, cross border deployment of emergency services personnel and other nationally significant activities such as management of the national conference and National Emergency Services Memorial.
About the Role – Administration Support Officer
These roles will provide various administrative support services to AFAC Directorates across multiple teams. Responsibilities may include (but not restricted to) executive assistance, project support, administration, and coordination of strategic initiatives. The Officer will also be involved in assisting with the preparation and tracking the AFAC Strategy and business plan, ensuring the alignment of projects with organisational goals.
As our Administrative Support Officer, you will also:
- Coordinate and prepare agendas and papers for meetings and collaboration/governance meetings.
- Provide administrative support for various AFAC projects.
- Deliver and coordinate key administration tasks to achieve project milestones, outcomes, and timelines.
- Research, gather and synthesize information to develop high quality meeting papers and briefing documents.
- Maintain strong relationships with internal and external stakeholders, ensuring effective communication and collaboration.
- Contribute to the development of training materials, particularly for specific response scenarios such as electric vehicle fires.
- Assist Directors/Managers with preparation and proofing of Board and Council papers.
- Participate in broader AFAC activities as required by the organization.
About You
This role will suit an individual who thrives on variety and getting involved in diverse and meaningful work. The successful applicant will love building relationships and working with a range of people, supporting different pieces of work across multiple AFAC teams. Project management is a feature across all the roles, and excellent time management, organizational skills and attention to details is critical for the successful completion of these nationally significant projects.
You may currently be in an Administrative Services or Project Officer role working with external stakeholders as well as across internal teams. This is a hands-on role, and while our organisation is small, our member base is extremely large.
The role will require someone who is self-motivated and driven with excellent stakeholder management skills.
The successful candidates will possess:
- Sound experience in an administrative support or project coordination role.
- Highly developed written and verbal communication skills including ability to write briefing papers and reports.
- Well-developed data management skills including use of MS Excel, Sharepoint, Zoom, MS Teams.
- High-level written and verbal communication skills with extra attention to detail.
- Demonstrated experience working with collaborative online software tools (e.g. SharePoint, whiteboarding, Zoom/MS Teams).
- Excellent communication skills to liaise with key stakeholders.
- Strong organization skills with the ability to prioritize and meet conflicting deadlines.
- Ability to work in an efficient and independent manner whilst being in a team environment.
- Can do attitude, good work ethic, quick turnarounds, collaborative with a flexible and proactive approach.
