About the TRB:

The Teachers Registration Board (the Board) is an independent statutory authority, with a dynamic, integrated operating environment with approximately 32 employees. The Board provides supportive leadership and a practical focus on day-to-day implementation. The Board's focus is to advance teacher suitability, engaging both a cross-agency and team approach between TRB groups and Education Authorities.

The functions of the Board are to promote, keep and regulate the teaching profession, by maintaining qualified teaching standards. The Board maintains the teacher registration system to ensure its members are competent, fit and proper to have the care of children.

The Board employs its own staff and is a public sector agency under the Public Sector Act 2009. The TRB has entered into an Administrative Agreement with the Commissioner for Public Sector Employment (the Commissioner) and complies with the Commissioner’s Determinations, Guidelines and the Code of Ethics for the South Australian Public Sector. The TRB adheres to Work Health and Safety requirements, equal opportunity principles and public sector principles. The TRB are committed to creating a diverse workgroup.

Role Summary:

The role is a full time 10 month contract until 01 March 2024. The role is an Administration Support Officer – Registration is accountable to the Manager, Registration and Senior Registration Officer for:

- maintaining effective procedures to ensure the TRB meets whole-of-government and agency standards, legislative and best practice requirements;
- the delivery of high level administrative functions, such as first tier problem solving for complex applications and implementing core registration projects;
- supporting the Senior Registration Officer/Manager, Registration across a range of registration operations including research/projects and general administrative tasks as required;
- ensuring all individuals contacting the TRB via phone, email,



or by attending the office are greeted and provided with a service that is centered on the customer (our clients) in a polite, timely, professional and courteous manner.
- contributing to the delivery and maintenance of efficient work practices within the TRB.

Selection Criteria:

Administrative Support:

Contribute to the:

- provision of efficient and effective administrative services that support the operations of the TRB and achievement of the Board’s objectives and goals.
- achievement of the Board responsibilities by securely handling documentation and information; monitoring and filing correspondence from teachers and stakeholders.
- provision of a client focussed reception service by responding accurately and professionally to phone, reception, and email enquiries in a timely, polite and positive manner.
- processing of applications and distributing registration certificates.
- creation and maintenance of relevant database contacts and official records with a high degree of accuracy.
- financial management processes such as promptly receipting and banking money as well as end of day reconciliation.
- provision of project support services for the Board as directed by the Senior Registration Officer/Manager, Registration.
- general administrative services as required relating to financial services, facilities management and/or information systems and technology.

Client Focus

- Provide accurate and consistent information to the teaching profession, public and other external stakeholders about the Board and its functions.
- Follow up on client requests and identify complex enquiries, which require referral to a relevant higher-level decision-making role.
- Provide professional and timely reception and administrative support services in a demanding environment including dealing with challenging clients in a culturally appropriate manner.
- Handle telephone and face to face enquiries in a courteous and clear communicative manner and take the necessary action according to TRB procedures.
- Create and maintain records management documentation to comply with the State Records Act 1997 and TRB records management requirements.

Registration

- Manage the day-to-day registration processes as established within legislative frameworks and Board policies and the timely processing of applications.




- Contribute to the preparation of statistical data, including reports upon request of the Senior Registration Officer/Manager, Registration and maintenance of the accuracy of the register of teachers.
- Support and facilitate the development of effective registration practices via:

- contribution to the development, monitoring and review of Board systems in accordance with relevant Legislative requirements
- supporting the development and review of internal controls for all registration processes.

Organisational Contribution

- Ensuring a safe and healthy workplace and identify and act on potential workplace hazards as well as identify and implement procedures to manage and minimise WHS risks for the TRB.
- Provide the highest standard of customer service to clients at all levels by modelling service excellence that meets the needs of customers and enhances the corporate profile of the TRB.
- Ability to keep accurate and complete records of core business activities in accordance with agency responsibilities under the State Records Act 1997.
- Embrace diversity and cultural differences in the workplace by modelling respectful behaviour in the TRB workplace.
