Committed to ecosystem restoration, this international team is seeking the support of an exceptional Chief of Staff to coordinate activities between their Gold Coast office and operational bases around the world.

About the position

As an established, savvy and resilient high level EA and/or Chief of Staff, your versatile and adaptable approach will shine as you support the company founder in a wide variety of duties. In this busy role, you’ll apply your exceptional project management skills, proactive mindset and problem-solving skills for your on-the-go visionary leader. Previous experience working with a founder would be highly regarded.

Confident in your skills and quality advice, you’ll keep your forthright and energetic leader moving forward and across the vital details. Your resourcefulness and solutions-focused approach will see you deftly managing multiple calendars across several time zones, while tracking tasks and delivering outcomes.

Your high energy, positive attitude and great communication skills allow you to do it all with minimal supervision, whether when working from home, or within the Gold Coast office.

Position responsibilities

- managing multiple calendars to proactively schedule meetings with attendees across various time zones
- managing agendas, minutes,



and actions registers ensuring task tracking, completion, and reporting
- leveraging systems such as Slack, Workplace, Jira, Google suite and Microsoft Office to manage tasks and documentation
- coordinating inbound and outbound correspondence in a professional and timely manner, including preparation of briefs and responses as required
- preparing and editing documents, presentations, and reports to a professional standard
- managing a wide range of documentation including maintaining an effective electronic filing system
- conducting research and compiling data to support decision-making
- tracking and reporting on project progress for the executive team
- submitting a daily work report and weekly summaries
- completing general administrative tasks in a timely manner
- undertaking errands in personal vehicle as neededQualities you’ll need to succeed
- willingness to attend the Gold Coast office three days per week (if you reside in Brisbane)
- strong work ethic with the ability to work flexible hours

Preferred skills and experience

- minimum 10 years’ experience supporting C-suite executives, preferably within an international organisation
- previous experience working with a founder/s essential/highly regarded
- proficient in Microsoft Office and Google suite programs including Excel and Sheets
- adept in schedule management software such as Google Calendar and Slack
- experience with project management systems, accounting software, and corporate reporting requirements will be highly regarded
- requirement to work within different timezones (the organisation works across europe/asia)
- Australian driver license and own vehicle
