PRIMARY DETAIL

• Salary Package: (HEW Level 6) $88,589 - 97,787 p.a, plus 17% employer's superannuation and annual leave loading
• Appointment Type: Full-time, fixed term (3 years)
• Location: Wallumattagal campus, Macquarie University, North Ryde, NSW

THE ROLE

The Faculty of Arts at Macquarie University is a large and dynamic Faculty that is implementing a new multi-year strategic plan to continue its ascendant trajectory in teaching and research. We are looking for two Project Officers who can support the implementation of the Faculty’s strategic vision into actionable projects.

Reporting to the Manager, Strategic Projects , the positions are responsible for implementing a program of strategic projects. These will include projects that are cross-faculty and cross-functional, as well as Faculty-specific and locally resourced projects. The Faculty’s vision includes significant teaching innovation, the development of high impact research initiatives, and a multi-layered long term vision for industry and public engagement. These roles will work directly with professional and academic leadership of the Faculty to execute projects under the guidance of the Manager, Strategic Projects, and will collaborate as part of cross-functional teams from across the University to deliver them.

These roles will form part of project teams which will vary in size and scale dependent on the projects and will provide day-to-day project support within the Strategic Projects team itself. The roles will require work of an integrated, high-quality, and consistent manner, which may include but not be limited to project coordination, stakeholder engagement, developing reporting, social media engagement, and more. Attention to detail and an ability to effectively work across a wide range of projects will be integral in this role.

About You

To succeed in this position, you will have a good understanding of project management principles and a keen eye for detail to support high quality deliverables are met within budget and to time. You will be skilled in project management methodologies and systems and will be able to demonstrate your excellent communication, time management, and stakeholder management expertise.

You take pride in managing the efficient administration of multiple projects and tasks,



even with competing deadlines and changing priorities.

Key Accountabilities

- Support the delivery of projects and initiatives to achieve operational and strategic goals.

- Assist in the implementation of policies, guidelines and procedures and play a leading role in their application to ensure the effective operation of the initiatives.

- Plan and provide support for projects and initiatives, supporting the Manager, Strategic Projects in planning, review, data collection and analysis, including reports.

- Coordinate project administration including coordination of meetings, minute taking, manage assigned actions and follow-ups and project status reporting.

- Act as the primary contact for key internal and external stakeholders, maintaining effective channels of communication, analysing requests and correspondence to prioritise priorities as well as urgent and sensitive matters.

- Support the implementation of systems and processes for enabling project deliverables.

- Coordinate and create communications for the project using social media channels and internal and external websites as required.

- Coordinate workshops and events for the project, including catering, room bookings, liaison with stakeholders, routine correspondence, online and venue bookings, management of registrations, coordination of feedback surveys and other duties as required.

- Build and maintain strong and effective relationships with key contacts within Faculty and across the University, as required and schedule meetings with key contacts to ensure effective consultation and collaboration .

- Comply with relevant professional standards and codes of ethics and EEO and WHS regulations.

- Perform any other duties as required and appropriate for this classification.

Required Skills, Knowledge and Experience

- Relevant tertiary qualification with subsequent relevant experience or equivalent competence gained through any combination of education, training and experience

- Excellent written and verbal communication skills, with a high level of attention to detail for deliverables produced

- Sound stakeholder management skills, with the ability to liaise effectively with a range of stakeholders

- Experience working with a range of computer systems and applications, including Microsoft Office 365, Learning Management Systems, Survey Monkey, Workday

- Excellent time management skills, with a demonstrated ability to respond to changing priorities, manage multiple tasks and meet competing deadlines by using judgement and initiative

- Project experience, with an understanding of the project life cycle and development of project plans, objectives and documentation





- Demonstrated ability to work collaboratively and productively within a team, but also to take initiative and work independently while managing competing demands

- Relevant tertiary qualification/s and or equivalent experience extensive

- Demonstrated extensive experience in building and leading high performing teams to delivery organisational outcomes

- Demonstrated ability to plan at both strategic and operational levels with organisational skills to ensure the delivery and implementation of programs and services

- Proven ability to provide leadership and encourage a collaborative and cooperative work environment including the capacity to embrace and foster change

- Highly developed conceptual, analytical, problem solving and research skills and ability to develop innovative solutions

- Strong customer service focus and ability to work effectively with a broad range of stakeholders

- Proven ability to exercise initiative and autonomous judgement and negotiate positive outcomes

- Demonstrated ability to manage financial and physical resources
