About The Role
The primary purpose of the National Service Co-ordinator position is to provide training/travel co-ordination and administrative support to the National Service and Branch Field Service teams.
The position is responsible for assisting the key Account stakeholders, including Service Delivery Managers, Field Service Engineers, Help Desk and Customer Service team members in relation to various support functions. Key activities will include maintaining uniforms and PPE inventories, co-ordinating technician travel and managing field service escalations.
The role ensures that all necessary day to day matters, stakeholder management, risks and compliances are managed in a manner that the organisation achieves its goals and builds a great brand reputation.
Requirements
- Supporting Field Service Engineers (FSE) and other internal customers such as L1 Help Desk with issues relating to service order creation, allocation and processing.
- Correction of data integrity issues with completed service orders.
- Processing of specific requirements for the KMI parent company.
- Coordinate training programs, administration of training records and expenses.
- Making travel, accommodation and catering arrangements for Trainees and Trainers by liaising with Branch & Dealer staff. General preparation & follow up of after the course.
- Researching suppliers to find value for money options, and to keep expenses within budget.
- Creation of non-stock Purchase Orders, liaising with suppliers, reconcile Invoices and ensure accuracy and quality of goods and services received.
- Plan and organize meetings / events including - notifying attendees, arrange travel and accommodation, and prepare materials for the event.
- Manage supply and availability of consumable items including tools, PPE etc. for Field Service Engineers.
- Ordering and dispatching of Field Service Engineer uniforms and maintain the Uniforms Ordering Web portal.
- Stock take for National service (uniforms, PPE, IT assets).
- Processing of allowances and reimbursements for Field Service Engineers.
- Ordering of machine compliance stickers and dispatching to state Workshops.
- Other duties associated with the ongoing administration of the National Service team.
Qualifications And Experience
- Excellent time management and organisational skills
- Ability to collaborate with internal and external stakeholders to build relationships, credibility and trust
- Ability to work according to strict deadlines
- Sound communication skills
- Microsoft Office (especially Excel)
- SAP skills will be highly regarded
- Sense of urgency and high responsiveness
- Ability to prioritise and react quickly to ensure stakeholder satisfaction
- Ability to deal with ambiguity and know when to escalate
- Sense of ownership and accountability for assigned activity, including regular follow up with stakeholders to ensure timely completion of assigned tasks
