Your new company
You will be working in a Northern Territory Government department, which is based in the Darwin CBD. Your new company is looking for an excellent administrative assistant that will provide executive support to a dynamic and committed team.
Your new role
Provide comprehensive administrative support to an executive which may include:
- Managing email inboxes, diaries, meetings and travel arrangements
- Monitoring all communication channels in and out of the Executive's office, including: telephone and email enquiries, screening calls and delivering messages in a timely manner
- Maintaining appropriate administrative systems, registers, processes, databases and record management
- Providing high level secretarial support including minute taking and logistical support to working groups, committees and events/functions
- Ensure high quality products and the management of effective and efficient workflows within the unit
- Managing a range of procurement functions including travel arrangements, purchasing and processing credit card transactions
- Supporting working groups, committees and for events/functions the Executive/ work unit are involved with.
- Liaise in a discreet and confidential manner with a wide range of people including but not limited to,
all levels of staff within the agency, the Minister's office, external stakeholders and the general public.
What you'll need to succeed
- Proven successful experience in providing administrative support; with a high attention to detail, sound judgement, the ability to maintain confidentiality and a clear understanding of the need for tact and diplomacy.
- Prior experience operating in a fast-paced workplace with strong organisational and time management skills. Demonstrated ability to prioritise tasks, work independently with minimal supervision and work under pressure.
- High level of motivation and ability to monitor and meet changing priorities and deadlines.
- Sound knowledge in computer systems, records management and major business systems, or the ability to obtain quickly.
- Well-developed interpersonal, oral and written communication skills, with a demonstrated ability to communicate professionally and effectively at all levels and with people from diverse backgrounds.
