About the Role
The Logistics Manager is a new role to the business, tasked with improving the efficiency and scalability of our field operations. As Logistics Manager, you are responsible for operations and housekeeping procurement, delivery and dispatch across our national portfolio. You will work with our local Operations Managers to coordinate the day to day schedule of inbound deliveries, provide leadership of our warehouse hubs (by state) while controlling distribution costs, stock and general control of all aspects related to business logistics. You will analyse usage of consumables and warehouse items to optimise stock levels and distribution efficiency. The Logistics Manager will also assist the Head of Housekeeping to optimise deployment of housekeeping and field staff and amenities to optimise guest experience outcomes.
You will deliver our service philosophy at every chance, when communicating with team members, agents and suppliers over the phone or by email, and actively seek opportunities to inspire guests in order to create a memorable experience, by anticipating individual needs, exceeding expectations and building relationships. You will take an analytical approach to problems, identifying new ways of doing things with a focus on improving efficiency for our field resources. You will thrive in a fast paced environment where attention to detail is paramount and have a strong understanding of departmental business needs while ensuring relevant state and national compliance is adhered to at all times.
Responsibilities
Daily Tasks
- Coordinate with the National Housekeeping manager to plan daily weekly and monthly allocation of tasks to our housekeeping teams (internal and external) across all states
- Monitor and manage matrix plans in relation to logistics across housekeeping, operations and distribution areas
- Manage supplier contracts on a national and state basis ensuring that UR standards are adhered to in relation to sustainability pillars and targets
- Conduct regular meetings with contractors ensuring consistency and efficiency, while building strong relationships within the core departmental function
- Develop relationships with key stakeholders, suppliers and contractors
- Review and control ordering across all states, in conjunction with spot checks, daily, weekly and monthly stocktake procedures
- Ensure stocktake is accurately recorded per schedule requirements and associated variances are investigated, controlled and reported on
- Review update and monitor task lists within technology platforms, adjusting as necessary to ensure optimized performance
- Respond to concerns or complaints appropriately and communicate with your Manager as appropriate
- Review time-in-motion for housekeeping and operations teams and identify areas for improvement, mitigating efficiency shortfalls
- Fulfill all requests from stakeholders in a timely manner
- Assess and recommend ideal logistic, shipping or operational methods and routes to enhance efficiency and reduce costs
Ongoing Tasks & Projects
- Conduct analysis of guest amenity usage and furnishing and fit out replacements to report on stock levels and improve cost attribution
- Grow and explain supply and supply chain management as operations requires, ensuring a smooth and focused transition
- Manage relationships and ensure required Service Level Agreements (SLAs) are in place with third party vendors and suppliers
- Manage supplier matrix, ensuring adequate reviews for SLAs and contracts are completed prior to term expiries
- Develop and present plans and policies to improve warehouse and daily logistics on the operations front
- Daily, monthly and quarterly OKR and productivity reporting, accuracy and timeliness targets
- Ensure all new team members and/or contractors are inducted in accordance with UR standards and regular revisions are carried out to ensure compliance
- Actively participate and collaborate on areas of improvement for overall departmental and business objectives
- Manage project timelines and expectations, identify any blockers and act to escalate or resolve to meet deadlines and requirements on time
- Complete projects as assigned by your Manager and to ensure deadlines are met
- Develop and review key Standard Operating Procedures (SOPs) within your department, ensuring all team members are adequately trained and adhere to standards.
- Participate in training and development programmes as scheduled by management, and actively implement what is trained into the working environment
Cost Control, Reporting & Forecasting
- Proficiently manage cost control within the department, ensuring all cost areas are inline with expectations, actively seek ways to reduce expenditure where operationally viable
- Report on increases on vendor, supplier and contractor costs and proactively engage in cost reduction or minimisation practices
- Purchase, maintain and control costs for all supplies relating to the housekeeping and operations departments
- Maintain a cost control system and regularly review outliers or areas for improvement with the management team.

- Knowledgeable with computers and software programs including Google Suite
- Willingness to travel when required
