Your role at St John of God Midland Public Hospital

St John of God Midland Public Hospital is seeking a highly organised and proactive Administration Assistant to provide a high level of administrative services and support to the relevant department. In this role, you will coordinate day-to-day office operations, manage schedules and documentation, prepare correspondence, and maintain accurate records while handling confidential information with discretion.

The successful candidate will have strong communication skills, excellent attention to detail, and the ability to manage competing priorities in a fast-paced workplace. This role is essential in ensuring the smooth and efficient functioning of the department through reliable and professional administrative support.

The Position

- Manage an effective filing system for records and administrative information, including manual and electronic systems.
- Support data extraction and analytics for benchmarking.
- Ensure reports are produced as required.

- Provide administrative support to the department and team.
- Prioritise and coordinate work to meet designated time frames.
- Provide secretarial support to department meetings and ensure typing and distribution of minutes, correspondence and memos is completed in an accurate and timely manner.
- Coordinate meetings for department caregivers as required.
- Manage communications including telephone, mail and emails. Prepare draft responses on request as required.
- Arrange venues, equipment and catering for all service events.
- Respond in a timely and appropriate manner to all customer enquiries.
- Work collaboratively with administrative caregivers across SJGHC to provide efficient and effective administrative services.

The ideal candidate will bring proven experience in administrative roles, supported by advanced word processing capabilities and strong proficiency across a range of Microsoft Office applications and data reporting systems.



You will demonstrate well-developed written and verbal communication skills, along with a customer-focused approach and the ability to effectively engage with a diverse range of stakeholders.

A high level of organisation is essential, with the ability to manage office systems efficiently while working both independently and as part of a team. You will be capable of prioritising competing tasks to deliver effective and timely administrative support and contribute positively to a collaborative and cohesive team environment.

- Salary: $44.99 to $48.57 per hour, plus 12% superannuation
