Role Overview
The Event Manager is a 3-month temporary contract role from Mid Feb to Mid May. This role is responsible for supporting the planning, coordination, and onsite delivery of Retail Fest, with a strong focus on sponsor, exhibitor, and hosted program execution.
This role plays a critical part in ensuring contractual obligations are delivered to a high standard, event information is accurate and timely, and stakeholders experience a seamless, professional journey from pre-event through to onsite delivery. Working closely with the Head of Events, the Event Manager provides high-level coordination, administration, and operational support across multiple workstreams, ensuring deadlines, quality, and expectations are consistently met.
What You'll Be Responsible For
Sponsor & Exhibitor Management
- Proactively communicate with sponsors and exhibitors to support the delivery of contractual inclusions and event requirements in the lead-up to Retail Fest.
- Act as a key point of contact for sponsor and exhibitor queries, ensuring timely responses and issue resolution.
- Manage the collection, organisation, and tracking of sponsor and exhibitor assets, including logos, company descriptions, biographies, and promotional content.
Content, Website & Data Management
- Maintain and update the event website, ensuring sponsor listings, program information, and event details are accurate and up to date.
- Support database management for sponsors, exhibitors, and hosted program participants, ensuring information integrity and consistency across platforms.
Hosted Program & Event Coordination
- Assist with the coordination of the Retail Fest Hosted Program (retailer and vendor meeting program), including scheduling meetings, confirmations, and stakeholder communications.
- Provide administrative and logistical support to ensure program timelines,
milestones, and deliverables are achieved.
Operational & Administrative Support
- Provide high-level administrative and event coordination support across all phases of the event lifecycle.
- Support the Head of Events with documentation, tracking of pre-event milestones, and execution of key deliverables.
- Manage ad-hoc priorities as required, demonstrating flexibility in a fast-paced event environment.
Onsite Event Delivery
- Be onsite at Retail Fest, acting as an operational contact for sponsors, exhibitors, and hosted program stakeholders.
- Support onsite delivery, issue resolution, and stakeholder experience to ensure a smooth and professional event execution.

- Accuracy and consistency of event website and program information

What You’ll Bring
- Proven experience in event coordination or event management, preferably within conferences, exhibitions, or large-scale events
- Strong organisational skills with the ability to manage multiple stakeholders and deadlines simultaneously
- Excellent written and verbal communication skills
- High attention to detail and a commitment to quality and accuracy
- Confidence working with databases, websites, and event management systems
- Ability to remain calm, adaptable, and solutions-focused in fast-paced environments
- Willingness and availability to work onsite during Retail Fest
Candidates must be located in either QLD, NSW or VIC with the ability to travel to the Gold Coast.
