As the Program Coordinator - Casual Workforce Planning , you will play an key role in supporting the design and delivery of the START Program (Strategic Transformation Academic Resourcing and Timetabling) , Pillar 2, helping to transform how casual workforce planning is managed across RMIT.

Working closely with Colleges, Schools, People and Culture, the START project team and technology partners, you will help design and implement improved processes for casual workforce planning, including rostering, time capture and payment assurance.

This is an opportunity to work across a significant university-wide transformation, bringing together your skills in business analysis, process improvement, project coordination and stakeholder engagement to help turn business needs into practical solutions.

You will contribute to the design of future-state processes, support system implementation and testing, coordinate stakeholder activities and help prepare the business for new ways of working.

Key responsibilities

- Support the delivery of the Casual Workforce Planning workstream within the START transformation program.
- Contribute to the design and improvement of future-state business processes, including casual planning, rostering, time capture and payment assurance.
- Work with stakeholders and subject matter experts across RMIT to gather requirements, understand business needs and identify opportunities for improvement.
- Develop and maintain key project documentation, including business requirements, process maps, functional specifications and workshop materials.




- Work closely with the project team and technology vendor to help translate business requirements into effective system functionality.
- Coordinate User Acceptance Testing activities, including test planning, stakeholder coordination, defect management and business sign-off.
- Support change, communication, training and business readiness activities to help embed new systems and ways of working.
- Coordinate working groups, workshops and stakeholder activities, ensuring actions, issues and outcomes are captured and progressed.
- Monitor project risks, issues and actions and work collaboratively with the project team to support timely resolution.

About you

You are an organised, analytical and collaborative professional who enjoys understanding how things work, solving problems and working with people to deliver practical improvements.

- Demonstrated experience in business analysis, process improvement or project coordination within a large and complex organisation. Experience in the tertiary education sector will be highly regarded.
- Experience documenting business requirements, developing process maps and supporting systems implementation.
- Knowledge or experience of workforce planning, rostering, time capture or timesheet processes, particularly for casual staff, will be highly desirable.
- Strong analytical and problem-solving skills,



with the ability to understand business issues and identify practical solutions.
- Experience supporting User Acceptance Testing, business readiness and change implementation activities.
- Strong organisational skills, with the ability to coordinate multiple activities, manage competing priorities and deliver outcomes within agreed timeframes.
- Well-developed stakeholder engagement skills and the ability to work collaboratively with academic, professional and technical teams.
- Excellent written and verbal communication skills, including the ability to prepare clear business documentation, reports and workshop materials.
