CareFirst Community is seeking a dedicated Administration Assistant to join our team in Mackay, QLD. This is a part-time position (approx. 20 hours per week) that plays a vital role in supporting the smooth operation of our organisation. As an Administration Assistant, you will be at the heart of our administrative functions, ensuring that our team can focus on delivering exceptional care and support to our community. This role offers the flexibility of part-time work whilst contributing meaningfully to our mission of providing quality community care services.
What you'll be doing
- Managing and organising administrative files, records and documentation to ensure easy retrieval and compliance with organisational standards
- Providing general administrative support to team members and management, including scheduling appointments and coordinating meetings
- Handling incoming and outgoing correspondence, emails and telephone enquiries in a professional and timely manner
- Maintaining accurate and up-to-date databases and spreadsheets to support operational requirements
- Preparing and formatting documents, reports and presentations as required
- Supporting the coordination of events, training sessions and other organisational activities
- Assisting with data entry and ensuring information accuracy across systems
- Performing general office duties including ordering supplies, managing office equipment and maintaining a well-organised workspace
What we're looking for
- Strong organisational and time management skills with the ability to prioritise multiple tasks effectively
- Excellent communication abilities, both written and verbal, with a professional demeanour
- Proficiency in Microsoft Office applications, particularly Word, Excel and Outlook
- Demonstrated ability to work independently and as part of a collaborative team
- Attention to detail and accuracy in all administrative tasks
- Experience in an administrative or office support role, preferably within a community services or healthcare environment
- A genuine commitment to supporting our mission of community care and wellbeing
- Reliability and flexibility to accommodate the part-time schedule and any occasional variations to working hours
- Desirable: Experience with practice management software or familiarity with community services operations
