A boutique property development and finance group is seeking a sharp, highly organised Personal Assistant to act as the CEO's right hand across two connected businesses. This is a hands‑on part‑time role for someone who thinks ahead, prioritises independently, and executes without hand‑holding. You'll be trusted with confidential, time‑sensitive matters and given direct access to decision‑making — so reliability, discretion and judgement are everything. It is a non‑advisory support role; any client questions on finance or lending are passed to the appropriate licensed team members.
Key responsibilities
- Acting as the CEO's right hand across two businesses — property development and finance
- Complex diary, schedule and inbox management — triaging and drafting high‑quality correspondence
- Liaising with lawyers, accountants, brokers, builders and other key stakeholders
- Managing property and project‑related administration, and preparing client documents and materials
- Coordinating client appointments, mentoring sessions and site visits; setting appointments and following up leads by phone
- Maintaining accurate client records in the CRM and collecting client documentation (administrative support only)
- Handling confidential and time‑sensitive matters with complete discretion
- Personal logistics, ad‑hoc problem‑solving, and anticipating what's needed before being asked
About you
- Minimum 2 years' PA / EA experience, ideally supporting a Director or senior executive
- Proven ability to manage competing priorities in a fast‑paced environment
- Exceptional written and verbal communication
- Meticulous attention to detail — accuracy is essential in this role
- An excellent telephone manner and confidence making client and outbound calls
- Discretion and professionalism in handling confidential information
- Available to work part‑time in person — St Kilda Road, Melbourne, with occasional home office
- Someone who anticipates needs before being asked
- Commercially aware and understands business priorities
- Direct access to the CEO and to decision‑making
- Exposure to property, finance, legal and business matters
