About the Role
This business is on the lookout for an experienced and switched-on Senior Service Coordinator to join their Maintenance team. This is a fast-paced, office-based role based in Thornleigh where you'll be the key link between customers, maintenance technicians, contractors and the wider internal team. This isn't an entry level coordination role — they need someone who genuinely understands the HVAC industry, speaks the language and knows what it takes to keep assets running the way they should.
Hours
Monday to Friday, 7:30am — 3:30pm (38-hour week). Some overtime may be required during busy periods.
What You'll Be Doing
- Scheduling and coordinating a team of maintenance technicians and contractors across the Sydney and Central Coast region
- Managing the full lifecycle of maintenance jobs from booking through to completion
- Serving as the primary point of contact for clients and technicians on all maintenance-related queries
- Ensuring HVAC assets are serviced in line with required frequencies and relevant Australian Standards including DA-19
- Maintaining compliance documentation and service records
- Overseeing parts inventory, placing orders and coordinating deliveries to keep jobs on track
- Utilising AroFlo job management software to enter purchase orders, allocate stock and maintain detailed job documentation
- Performing end-of-day checklists, maintaining task notes and processing payments as needed
- Upholding the company's values and safety protocols at all times
What We're Looking For
- Minimum 3 years experience in a service coordination or scheduling role within the HVAC or mechanical services industry — this one is essential
- A solid understanding of HVAC systems, mechanical equipment and how frequently different assets need to be serviced
- Working knowledge of DA-19 and other relevant Australian Standards
- Robust communication skills — you'll be dealing with technicians, contractors and clients every day
- Experience with AroFlo or similar job management software highly regarded
- Proficiency in Microsoft Office
- High attention to detail with the ability to juggle multiple priorities without dropping the ball
- Someone who can work well under pressure both independently and as part of a team
- A proactive, positive attitude and a genuine commitment to delivering outstanding customer experiences
