Our client, a respected architectural practice, is seeking a friendly, organised and proactive Studio Support Coordinator to provide essential front-of-house and administrative support within their busy studio. This role is pivotal in maintaining a professional, welcoming and efficient office environment while supporting the day-to-day operations of the practice. The client is looking for a candidate who is interested in a long-term opportunity and becoming an integral part of the team. Office hours are Tuesday to Friday, 9:00am - 5:00pm .
Roles & Responsibilities
- Answer and direct incoming phone calls in a professional manner.
- Greet visitors, clients, consultants and suppliers, ensuring a positive and welcoming experience.
- Manage incoming deliveries, couriers and general office correspondence.
- Arrange hospitality and refreshments for meetings and visitors.
- Maintain a professional and presentable reception area, meeting rooms and communal spaces.
- Pack and unpack the dishwasher and assist with maintaining kitchen cleanliness and organisation.
- Organise and maintain the studio's sample and materials library.
- Coordinate office morning teas, staff functions, celebrations and other team events.
- Monitor office stationery, kitchen supplies and general consumables, placing orders as required.
- Liaise with suppliers and service providers to support the smooth operation of the office.
- Provide general administrative support across the practice.
- Maintain records, databases and administrative systems.
- Assist with document preparation, filing, scanning, printing and other ad hoc administrative duties.
- Support staff and leadership with office-related tasks as required.
Skills & Experience
- Previous experience in a Receptionist, Office Administrator, Studio Coordinator, Administration Assistant or similar support role.
- Solid verbal and written communication skills with a professional and personable manner.
- Excellent customer service and stakeholder engagement skills.
- Highly organised with the ability to manage multiple tasks and priorities.
- Proactive, reliable and capable of working independently.
- High attention to detail and strong problem-solving abilities.
- Proficiency in Microsoft Office Suite, including Outlook, Word and Excel.
- Ability to learn new systems and processes quickly.
- Experience using Adobe InDesign would be highly regarded.
- Experience within an architecture, design, engineering or professional services environment is advantageous
