Northern Health are seeking applications from dynamic, motivated and suitably experienced adminstration assistant to join the Physiotherapy department.
Northern Health is the major provider of acute, maternity, sub-acute, mental health, specialist, community and home-based services in Melbourne’s rapidly growing outer north.
Services are provided through our six main campuses:
Northern Hospital Epping, Broadmeadows Hospital, Bundoora Centre, Craigieburn and Mernda Community Hospitals and Kilmore District Hospital. In addition, Mental Health Services are provided at Epping, Broadmeadows, Jacana, Preston, Mill Park, Mernda and Coburg.
About the Role
The Physiotherapy Administration Assistant will assist the Physiotherapy Clinical Leaders for Advanced Practice Physiotherapy and Acute Streams, and the Associate Director by undertaking assigned administrative and support tasks. The role encompasses effective coordination of administration tasks, including determining work priorities and meeting deadlines, as well as exercising self-direction and flexibility.
This position is based at The Northern Hospital Epping site and there is opportunity for part of the position to be performed working from home.
This position is fixed term part time - 55.72 hours per fortnight until June 2027
Role specific responsibilities include
- Perform administrative duties as delegated and directed by the Clinical Leaders and Associate Director.
- Provide administrative support to the recruitment process, including; uploading positions onto recruitment platform; organise interviews; onboarding of staff (arranging IT access, badges, new staff communication etc).
- Assistance with rostering process and staff payroll follow up queries.
- Assist in the collation of data and information for reports and projects, including KPI dashboard; mandatory training; forms, policy and procedures.
- Develop and distribute correspondence, minutes and agendas and provide meeting support as needed.
- Coordinate meetings, forums and other appointments as required
- Where appropriate, liaise with external and internal individuals and organisations on behalf of the Clinical Leaders and Associate Director.
- Word-processing and formatting/preparing large reports and submissions
- Formatting & standardising approved patient resources/content
- Timely preparation and processing of invoices, reimbursements and sundry debtor requests
- Prepare and maintain Excel spreadsheets
- Use own initiative and good judgement in relation to prioritisation of demands, demonstrating prompt attention and sense of action relating to urgent matters
To be successful in this role you will have:
- Flexibility, adaptability and desire to learn new skills.
- High level of proficiency using Microsoft Office programs (Outlook, Teams, Word, Publisher, Excel and PowerPoint)
- Ability to quickly learn new digital systems and programs relevant to the role.
- Highly developed interpersonal and communication skills
- Demonstrated accuracy and attention to detail
- Excellent time management skills and prioritisation
- Proven administration and organisational skills, including the ability to multi-task, prioritise and schedule work to meet deadlines in a busy environment.
- High level of problem-solving skills
