Spot On Warehouse Solutions – Wetherill Park NSW

We're searching for a structured, commercially aware, and people-focused Service Coordinator to take ownership of daily service scheduling and technician coordination. This role sits under our Customer Experience Manager and plays a critical part in ensuring preventative maintenance and breakdown services are delivered efficiently, professionally, and without friction. You'll coordinate technicians, manage real‑time scheduling, maintain system discipline, and protect the customer experience — while driving technician utilisation and service profitability. This is an operational control role, not a passive administration position.

Key responsibilities

Plan and schedule the Preventative Maintenance Program (PMP) and reactive breakdowns for both hire fleet forklifts and customer‑owned forklifts

Allocate and optimise technician schedules to maximise job completion rates and minimise downtime

Monitor technician movements and job progress in real time

Proactively communicate with technicians throughout the day to confirm status, lift issues, and adjust schedules as required

Ensure job readiness by coordinating with the Parts team to confirm required components are available prior to dispatch

Act as a key point of contact for customers regarding service bookings, job progress, and scheduling updates





Maintain accurate and up‑to‑date service notes within company systems

Ensure jobs are closed out correctly and in a timely manner

Work closely with Service Managers, Parts, CX, and Projects to maintain seamless workflow

Identify scheduling inefficiencies and contribute to process improvements

About you

Experience in service coordination, logistics, or field operations scheduling

Understanding of preventative maintenance programs and reactive service environments

Robust organisational and prioritisation skills

Professional and confident verbal communication, particularly over the phone

High emotional maturity and ability to remain calm under pressure

Strong attention to detail in job information and updates

Solutions‑focused mindset with a proactive approach to challenges

Comfort working within service management and CRM systems
