Event Coordinator

RD Events & Authentic Events

Balcatta, WA

Full time

RD Events and Authentic Events are looking for an experienced Event Coordinator to join our growing events team.

We’re looking for someone who already has solid event experience, loves being in the detail and is ready to take on more responsibility, while continuing to develop their skills and experience alongside an experienced event leadership team.

You’ll work across a diverse portfolio of large-scale public, sporting, community, corporate events and brand activations, supporting our Event Managers while also taking ownership of your own areas of event delivery.

This is a hands on role. Some days you’ll be building project plans and coordinating suppliers; others you’ll be on-site managing staff, stakeholders and event operations.

Most importantly, we’re looking for someone with the right attitude, initiative and drive to grow.

The Role

As Event Coordinator, you will work closely with our Event Managers and wider delivery team to plan and deliver events from pre-event planning through to event day and post-event wrap-up.

Depending on the project, you may be responsible for an entire workstream or operational area, or work as part of a larger project team delivering one of our major events.

Your responsibilities will include

- Supporting the planning and delivery of events and activations across the RD Events and Authentic Events portfolios
- Taking ownership of allocated event workstreams, operational areas and project deliverables
- Developing project timelines, schedules, run sheets, event documentation and operational plans
- Coordinating suppliers, contractors, infrastructure and event logistics
- Assisting with event budgets, quotes, procurement and cost tracking
- Supporting event compliance, permits, risk management and safety documentation
- Coordinating casual staff, volunteers and event-day teams
- Managing stakeholder, participant, supplier and client communications as required

- Attending and contributing to stakeholder meetings, site inspections and operational briefings
- Supporting bump-in, event-day operations and bump-out
- Troubleshooting operational issues and helping find practical solutions in real time
- Maintaining accurate project documentation, databases and reporting
- Contributing to post-event reviews and identifying opportunities to improve how we deliver events

About You

You’ve already built a good foundation in events and are now looking for an opportunity where you can step up, take greater ownership and keep developing.

We’re looking for someone who:

- Has approximately 2–4+ years' experience in event coordination, event management, project coordination or a similar role
- Is highly organised and comfortable managing multiple priorities and deadlines
- Takes ownership rather than waiting to be told what needs to happen next
- Has strong written and verbal communication skills
- Is confident dealing with suppliers, contractors, stakeholders and event staff
- Enjoys both the planning side of events and getting out on-site to make them happen
- Can remain calm and solutions-focused when plans change
- Has strong attention to detail
- Is confident using Microsoft Office, including Excel
- Holds a current driver's licence
- Understands that events don't always happen Monday to Friday, 9–5, and is comfortable working evenings and weekends when required

Experience with large-scale public events, sporting events, festivals, activations or government stakeholders would be highly regarded, but we’re equally interested in finding someone with the right capability and potential to grow.

Working With Us

RD Events and Authentic Events work collaboratively from our Balcatta office, bringing together extensive experience across major events, mass participation, large scale community events, sport, brand activations and live experiences.

To apply, send us your CV and a short cover letter telling us about your event experience, the projects you've worked on and where you'd like to take your career next.
