About the role
This is a part-time opportunity working 24 hours per week. We offer flexibility around how those hours are distributed across the working week. The 24 hours may be worked over 3, 4 or 5 days, subject to agreement with the successful candidate and the needs of the team.
As a Scheduling Coordinator, you will join a cooperative, fast-paced team responsible for coordinating support services for Alliance Community clients. You will use your scheduling, customer service and administrative skills to match appropriately qualified and experienced Support Workers with clients, helping ensure each person receives reliable, high-quality support aligned with their individual needs and goals.
Key responsibilities
- Coordinate and finalise Support Worker rosters across short, medium and longer-term timeframes.
- Match clients with Support Workers who have the appropriate qualifications, skills, experience and training.
- Work closely with clinical, recruitment and workforce teams to maintain an appropriately skilled and available workforce.
- Develop a strong understanding of each client’s care and support requirements.
- Communicate roster information and service updates to clients, representatives,
funders and other stakeholders.
- Build positive relationships with clients and seek feedback to continuously improve service delivery.
- Maintain regular communication with Support Workers, respond to queries and assist with shift requests where possible.
- Ensure client and Support Worker records are accurate, current and entered into the relevant records management system within required timeframes.
- Escalate changes in client needs, incidents, staffing concerns and emerging trends to the appropriate clinical, workforce or management team.
- Support compliance with privacy, work health and safety, employment and relevant community care requirements.
- Contribute ideas that improve scheduling processes, service quality and the overall client experience.
About you
You will ideally have experience in the community services, disability, aged care or broader community care sector, either in rostering and scheduling, administration, workforce coordination or a client-facing support role.
You will also bring:
- Strong verbal and written communication skills.
- A customer-focused approach and the ability to communicate respectfully with clients, families, Support Workers and other stakeholders.
- Empathy, patience and an understanding of the importance of reliable support for people within the community.
- Excellent organisation and time management skills, with the ability to manage competing priorities and follow tasks through to completion.
- Strong attention to detail, with the ability to work efficiently and accurately.
- Confidence using technology, including Microsoft Office, telephone systems and online records or database management systems.
- The ability to use initiative,
work independently and contribute positively within a small team.
- Sound judgement, discretion and a commitment to maintaining confidentiality.
- A proactive, motivated and solutions-focused working style.
- A Certificate IV in Aged Care, Disability, Support Work or a related discipline would be highly regarded but is not essential.
Essential checks
The successful candidate will be required to hold or obtain the relevant worker screening and background checks, including:
- NDIS Worker Screening Check.
- Nationally Coordinated Criminal History Check.
- Working with Children Check or Working with Vulnerable People registration, depending on the applicable state requirements.
